Holidays

Holidays is the catalog where you register, by country and year, the dates your company treats as a holiday (Independence Day, Christmas, and so on), each with its own description. AdmCloud automatically uses these dates when calculating Time Off Requests (vacations and other leave) and other payroll processes that count worked or non-worked days, so it correctly excludes the matching country's holidays from the count.

Module: Payroll Requires the Payroll "Holidays" permission

What is it and what is it for?

Each record in this catalog groups all the holiday dates for one country in a specific year: for example, a single "Dominican Republic - 2026" record with one line per holiday that year (New Year's Day, Independence Day, Christmas, and so on).

This catalog isn't just informational: when an employee requests vacation or another type of time off, AdmCloud checks the requested date range and, if any date registered here for the employee's contract country falls inside that range, excludes it from the count of days taken. That way a national holiday never eats into an employee's vacation balance.

How to use it

  1. Open the Holidays list and click New.
  2. Enter the Year the holidays belong to (defaults to the current year) and the Country (defaults to your company's country). Both are required and cannot be changed after saving.
  3. On the Dates tab, add one line per holiday: its Date and Description (for example, "Independence Day"). Use the insert-row button to add more lines; empty lines are discarded automatically when you save.
  4. Save. AdmCloud validates that every captured date falls within the Year entered on the header.
  5. To fix a typo on a date or its description, edit the existing record; to fix the Year or the Country, you must delete the record and create a new one.

Main capabilities

  • One record per Country and Year combination: you cannot duplicate the same country and year across two different records.
  • Each record can hold as many holiday dates as you need for that year, each with its own description.
  • The list can be filtered by country or year, and you can customize which columns are shown (Year, Country and Notes).
  • The read-only detail screen shows, for every date, the day of the week it falls on, calculated automatically.
  • It acts as a shared reference for every payroll screen that needs to tell working days apart from non-working days, per country.

Key fields

Field What it's used for
YearYear the record's holiday dates belong to. Required; cannot be changed after saving.
CountryCountry these holidays apply to (matched against the employee's labor contract country). Required; must be a valid, active country; cannot be changed after saving.
NotesFree internal comment about the record. Optional; hidden by default in the list.
Date (Dates tab)Calendar date of the holiday. Required per line; must fall within the Year entered on the header.
Description (Dates tab)Name of the holiday (for example, "Independence Day"). Used as a visual reference only; it doesn't affect payroll calculations.

Validations when saving

  • Country is required and must exist and be active (not deleted).
  • Year must be a number greater than zero.
  • At least one date must be entered on the Dates tab; lines with no date are discarded automatically and don't count as a valid line.
  • Every captured date must belong to the same Year entered on the header; if any date falls in a different year, AdmCloud rejects the save.
  • There cannot already be another record with the same Country and Year (this prevents duplicate catalogs for the same country and year).
  • The Year and the Country cannot be changed when editing an existing record.
  • You cannot delete a record that has related information linked elsewhere in the system.

Availability

  • This feature requires the Premium Plus Payroll plan, or the Enterprise plan with the Payroll module active on your company; if it isn't available, the screen shows the "not available on this edition" message.
  • Requires the Payroll "Holidays" permission on your user group, with add, edit or delete level depending on the action you want to perform.

Tips and common mistakes

💡

Register them before the year starts. Create the holiday catalog for every country you operate in at the start of the calendar year, so Time Off Requests entered during the year already exclude those dates correctly.

ℹ️

"The record already exists". This message appears if you try to create a catalog with the same Country and Year as one that already exists. Edit the existing record to add the missing dates instead of creating a new one.

⚠️

Missed a date or made a typo. You can add, fix or delete individual dates by editing the existing record at any time; only the header's Year and Country are locked once the record is saved.

ℹ️

If you operate in multiple countries, create one Holidays record per country and year: each employee is only filtered against the holidays of their own labor contract's country.
