Opportunities Workspace

The Opportunities Workspace brings together, on a single screen, everything a sales rep needs to follow up on their open deals without jumping between screens: the list of open Opportunities and Leads, each deal's detail, its follow-up comments and emails, and a chart of your top deals by expected value.

Module: CRM Requires this feature enabled for your company

What it is and what it's for

Unlike the Opportunities list and board, which are built for managing the full record of a deal (stages, items, quotes, applied documents), the Opportunities Workspace is a lighter, faster screen built for the day-to-day follow-up routine: review your open pipeline, check what was last discussed with each prospect, log a comment or send a quick email, all from one place.

The list only shows open deals — those in a Sales Stage that isn't marked as closing — and includes both qualified Opportunities and unqualified Leads, since both share the same underlying record. Selecting a deal in the list updates the rest of the screen with its details and its comments/emails, without reloading the page.

How to use it

  1. Check the top-deals chart (optional). At the top, the chart panel shows a bar chart of your 20 open deals with the highest expected value (revenue × probability), consolidated to your local currency. Collapse it with the header's arrow to save screen space.
  2. Sort and filter the deal list. The Order by selector sorts the list by Expected Value (highest first — the default), Customer, Estimated Close Date or Last comment (deals with no recent follow-up rise to the top). Below it, a text box filters the already-loaded list by customer or deal name, and two dropdowns filter by Sales Stage and Sales Rep — all three filter on the client side, without querying the server again.
  3. Toggle "Only mine". Check this box to see only the deals where you're the sales rep. If your user group is restricted to your own records (an "own employee" restriction), this box is shown checked and disabled, since the server always limits you to your own deals (and your subordinates', if your company's setup includes them) in that case.
  4. Select a deal. Clicking a row highlights it and loads, on the right, its details and its comments and emails. The deal's name is a link that opens its full record (as an Opportunity or a Lead, depending on which one it is) in a new tab.
  5. Log a comment about the follow-up. The New Comment box is enabled once a deal is selected; write down the outcome of your call or follow-up and click Add Comment so it stays in the history, visible to anyone who reviews that deal later.
  6. Send a one-off email. The Email button (in the detail panel) opens a form to draft and send an email to the deal's contact, without leaving the screen.

Email with AI suggestions

Opening the email form pre-fills the To field with the deal's email address and the Subject with the deal's name.

If your plan has the AI assistant enabled, you'll also see several buttons to generate or rewrite the message body: draft an introductory email, a message to request a call or to request a visit from scratch, or rewrite what's already written with a more professional tone, a friendlier tone, or simply make it shorter. The suggestion replaces the text box's content; you can always edit it before sending.

ℹ️

The email sent from here is logged as an activity on the deal, so it will also show up in that deal's Comments and Emails panel, and in its full record's activity history.

Validations when saving

  • A comment can't be blank, whether you're adding a new one or editing an existing one.
  • You can only edit your own comments; the "Edit" link only shows up on comments you logged.
  • The email needs at least one recipient in the To field before it can be sent.

Availability and permissions

  • This feature requires the Premium Plus CRM plan or higher, or the Enterprise plan with the CRM module active.
  • It must also be turned on for your company; if it isn't, the screen shows a "feature not enabled" message instead of the workspace.
  • Opening the screen requires your user group's browse permission over Opportunities (the same permission that controls the Opportunities and Leads screens).
  • Logging or editing a comment requires the create/edit permission on CRM Activities.
  • Sending an email requires the create permission on CRM Activities (an email is logged as an activity).
  • If your user group is restricted to your own employee records, the "Only mine" checkbox is forced on and you'll always see just your own deals (and your subordinates', depending on your company's setup), regardless of the checkbox.
  • The detail's Subsidiary field only shows up if your plan has Subsidiaries enabled.
  • The AI text-suggestion buttons on the email only show up if your plan has the AI assistant enabled.

Tips and common mistakes

💡

Sort by "Last comment" for your daily follow-up round. That way the deals no one has touched in the longest time rise to the top, instead of always repeating the same deals just because they have the highest expected value.

💡

Always leave a comment, even if the follow-up had no result (e.g. "did not answer"). The comment history is what lets any other user pick up the follow-up without calling twice about the same thing.

⚠️

Don't see the Opportunities Workspace in the menu? Check that your plan includes the CRM module and that this feature is enabled for your company; if both are true and you still don't see it, check your browse permission over Opportunities.

ℹ️

The workspace only lists open deals. Deals already closed (won or lost) don't show up here; review those from the Opportunities list instead.
