Electronic Payments (Payment Links)
This area lets you show a "Pay" button on the Customer Portal, next to a Credit Invoice, that opens an external payment link you assign to that invoice yourself — for example, a checkout link from PayPal, Stripe or your bank. It's a lightweight way to offer online payment without a full payment-processor integration.
What it is and what it's for
Electronic Payments has two parts that work together:
- This configuration screen has a single switch, "Show Payment Links on Customer Portal", that turns the feature on or off for your whole company.
- The "Set Payment Link" button on each Credit Invoice (in the invoice's Details screen), where you paste the URL of a payment link you generated on your own payment provider's site.
Once both are in place, your customer sees a "Pay" button next to that invoice when they check their Account Statement or their Credit Invoices list on the Customer Portal. Clicking it opens your payment link in a new tab, where the customer completes the payment on your provider's own checkout page.
AdmCloud does not generate the link or process the payment for you. You create the payment link yourself on your provider's site (PayPal, Stripe, your bank's payment page, etc.) and paste that URL into the invoice. AdmCloud only displays the "Pay" button and takes the customer to that link — it does not receive or reconcile the payment automatically. If you need a fully automated card-processing flow instead, see Credit Card Operator Payment Processing.
How to use it, step by step
- Open Configuration > System Administration > Electronic Payments. If you don't see this screen, or you see a "module not enabled" message, this beta feature hasn't been turned on for your company yet — contact AdmCloud support.
- Turn on "Show Payment Links on Customer Portal" and save.
- Open a saved Credit Invoice and click "Set Payment Link". Paste the full URL of the payment link you created for that invoice on your provider's site, then confirm.
- Use "Show Payment Link" on the same invoice at any time to review or copy the link you already saved.
- Your customer will now see a "Pay" button next to that invoice on the Customer Portal's Account Statement and Credit Invoices list — as long as the invoice has a link assigned.
Key fields
| Field | Where | What it's for |
|---|---|---|
| Show Payment Links on Customer Portal | Electronic Payments configuration | Master switch: while off, no "Pay" button ever shows on the portal, even on invoices that already have a link saved. |
| Payment Link | Credit Invoice details ("Set Payment Link" / "Show Payment Link") | The external URL the customer is sent to in order to pay that specific invoice. |
Validations when saving
- The payment link must be a valid, absolute URL. Text that isn't a real link is rejected with "This is not a valid link".
- The payment link must use HTTPS. Plain "http://" links are rejected, to avoid sending customers to an insecure payment page.
- You can't set a payment link on a voided invoice. The invoice must be an active (non-void) transaction.
- An empty link is allowed and simply removes the "Pay" button for that invoice.
Availability and permissions
- This is a beta feature: the menu entry and the screen only appear once AdmCloud has turned it on for your company. If you open the URL directly without it being enabled, you'll see a "module not enabled" message.
- It's available on every AdmCloud plan. On the Enterprise edition specifically, it also depends on the Core or Billing module being active for your company.
- Access to the configuration screen is controlled by the "Configuration" permission of your user group, inside System Administration; setting the link on an invoice uses the same permissions as editing Credit Invoices.
- The data model also has fields for automatic PayPal payment links and a Cardnet redirect payment button — these are not implemented yet and have no effect even if you could set them; the only working option today is a manually pasted payment link per invoice.
Tips and common mistakes
Generate one link per invoice, for the exact amount due. Since AdmCloud doesn't create or reconcile the payment, make sure the link you paste points to a checkout page for that specific invoice and amount, so the customer pays the right total.
Turning the switch on isn't enough by itself. Customers only see a "Pay" button on invoices that also have a payment link set. If the switch is on but an invoice has no link, that invoice simply shows no "Pay" button.
Don't see the feature at all? It's a beta feature that AdmCloud enables per company. Reach out to AdmCloud support if you'd like to start using payment links.
