VAT/IT1 Payment Assistance

VAT Payment Assistance (called IT1 Assistance in the Dominican Republic) automatically calculates, from your already-posted transactions, how much sales tax you owe the tax authority for a given month. It shows the full breakdown — taxed and exempt operations, collected tax, deductible tax, withholdings and prior-period balances — and lets you drill down into every amount until you reach the exact transaction behind it. It's a read-only tool: it does not modify your accounting or generate journal entries.

Module: Accounting Requires view permission on the General Ledger Journal (GL_JOURNAL)

What it is and what it's for

The Fiscal Reports area has one main screen and three detail ("drill-down") views you reach by clicking any amount on the main screen:

  • VAT/IT1 Payment Assistance. The central screen: pick a year and month and AdmCloud shows you how much tax you collected on sales, how much you paid on purchases, your withholdings and the final balance due or in your favor.
  • Operations Detail (sales and purchase VAT). Lists, invoice by invoice, the transactions that make up any total on the assistance screen: sales by tax rate, deductible purchases, imports, and so on.
  • Other Transactions Detail. Lists the accounting adjustments and manual journal entries (not invoices) that also affect your VAT or withholding account.
  • Withholdings Detail. Lists the withholding certificates your customers apply when paying you and the ones you apply to your vendors, grouped by tax system.

This tool helps you prepare your monthly tax return with confidence: instead of building the calculation by hand in a spreadsheet, you see the final figure and can audit, with one click, which documents each number comes from before filing it with the tax authority.

How to use it

  1. Open VAT Payment Assistance (or IT1 Assistance if your company is in the Dominican Republic), inside Reports.
  2. If your company has multiple Subsidiaries with different currencies, pick the Subsidiary to review first; AdmCloud never mixes amounts from different currencies in one calculation.
  3. Enter the Year and Month to file for and, if your company has both exempt and taxed operations, check Show Amounts with Proportionality so the deductible tax is reduced based on the percentage of your sales that are actually taxed.
  4. Click Refresh to calculate the report with the filters you chose. While it runs you will see a loading animation and the filters stay disabled: the assistant goes through every transaction in the month, so on high-volume companies it can take a few seconds.
  5. Review the Operations, Settlement and Withholdings tables and click any amount to open a detail view of the exact transactions behind it.
  6. From the detail view, click a document number to open its full transaction, or the customer/vendor name to open their record, without losing the filter you arrived with.

What VAT Payment Assistance shows

Section What it contains
Operations Your sales for the period, split into "Not Taxed" (exports, exempt local sales, special regime) and "Taxed" (broken down by each tax rate you use: 18%, 16%, 9%, 8% or others).
Settlement The tax collected on your sales by rate, against the deductible tax from your local purchases, services and imports, plus the tax credit balance carried over from the prior month.
Withholdings What your customers withhold when paying you (customer withholdings) and what you withhold from vendors or receive withheld on your purchases (withheld VAT), grouped by tax system.
Other References Accounting adjustments or manual journal entries that affect your tax account directly, without coming from an invoice.
Total Due / Balance in Favor The final result: if collected tax exceeds deductible tax plus withholdings and the prior balance, the amount due is shown; otherwise your balance in favor for the next period is shown.
Operations by Receipt Type Count and amount of your sales grouped by fiscal receipt type (credit invoice, consumer invoice, credit/debit note, export, government, etc.).
Operations by Payment Method The gross amount of your sales for the period, grouped by how you were paid: cash, transfer/check, card, credit, vouchers, barter or other.

Drilling into the detail

Any bold amount on VAT Payment Assistance is a link. Clicking it opens one of these three views, already filtered to show only what makes up that number:

  • Operations Detail. Shows date, document number, customer/vendor, fiscal receipt number, reference, currency and the subtotal, tax and total amounts (in the original currency and in local currency). Rows with a negative total are highlighted in red, and accounting adjustments or paid tax lines show no subtotal/tax/total, since they aren't sales.
The list is paged, with a selector for 10, 25, 50, 100 or 500 rows per page, and a search box that filters by number, type, customer/vendor, fiscal receipt number and reference. The totals in the footer always cover every row matching the filter, not just the page you are looking at.
To take the full detail with you, use the Excel and CSV buttons above the table: they export every filtered row at once. This is the recommended way to copy or analyse large amounts of records, since a single month for a high-volume company can hold tens of thousands of transactions.
  • Other Transactions Detail. Shows date, document, affected ledger account, debit, credit and net amount, for the adjustments and journal entries that aren't invoices.
  • Withholdings Detail. Shows, grouped by tax system, the withholding certificate together with the original document it withheld from (date, number, customer/vendor, fiscal receipt number, withheld amount and exchange rate), separating what arrived "In Payments" from what appears "In Invoices".

Main filters

Filter What it's for
Subsidiary Required if your company has Subsidiaries enabled with different currencies, so amounts from one currency don't get mixed with another in the same calculation.
Year / Month The fiscal period to file for. Both are required before AdmCloud calculates the report.
Show Amounts with Proportionality Optional. When enabled, the deductible tax on services and imports is reduced by multiplying it by the percentage of your sales that are taxed, as required when you have exempt sales alongside taxed sales.

Validations and restrictions

  • Year and Month are required. If you open the screen without them, AdmCloud first takes you to a form to choose them.
  • Subsidiary is required for multi-currency companies. If your company has Subsidiaries enabled with different currencies and you don't pick one, AdmCloud asks you to select it before showing the totals, to avoid adding amounts from different currencies together.
  • Requires the General Ledger Journal permission (GL_JOURNAL). Only users with view access to the General Ledger Journal can see VAT Payment Assistance and its detail views.
  • It's read-only. None of these screens change your transactions or generate journal entries; they only summarize and let you explore what's already posted.

Geographic context and availability

  • Dominican Republic. The screen is presented as "IT1 Assistance" and uses DGII terminology and reports: fiscal receipt numbers (NCF), special regime, and the purchase (606) and sales-by-payment-method (607) reports that feed this assistance screen's detail.
  • Other countries. The same screen is presented as "VAT Declaration Assistance", with the same calculation of collected tax, deductible tax, withholdings and balance, without the Dominican-specific fiscal receipt terminology.
  • Availability. No plan or Enterprise module restriction was found: VAT Payment Assistance is available on every plan, as long as the user has view access to the General Ledger Journal.

Tips and common mistakes

ℹ️

It's an assistant, not an official filing. The report helps you calculate and verify the amount before filing it; the formal filing with your tax authority remains a separate step.

💡

Use the detail links to reconcile differences. If a total doesn't match what you expect, click the amount to see exactly which invoices or adjustments make it up, instead of recalculating everything by hand.

⚠️

Check Proportionality before enabling it. It should only be used if your company has exempt sales alongside taxed sales; enabling it unnecessarily reduces your deductible tax incorrectly.
