Financial Projections
Projections are a group of read-only reports that show you, without having to build anything manually, how much cash you can expect to have available over the coming weeks or months, and how much you expect to collect from customers and pay to vendors. AdmCloud calculates these projections automatically from your bank balances and the estimated collection/payment dates of your open invoices, combined with any manual entries you record yourself.
What is it and what is it for?
Instead of waiting until the end of the month to find out whether you'll have enough cash, Projections give you a forward-looking view: they take the current balance of your bank accounts and add or subtract what you expect to collect from customers and pay to vendors, spread out week by week or month by month according to each invoice's estimated date. The result helps you anticipate whether a given week or month will need more collection effort, a delayed payment, or extra financing.
The area groups two complementary kinds of projection:
- Cash Flow Projection: combines your bank accounts, your estimated collections and payments, and your Manual Cash Flow Projection Entries, to show you the consolidated cash you expect to have available.
- Payments and Collections Projection: shows you, relationship by relationship (customer or vendor), how much you owe or are owed and in which week or month you expect it to be collected or paid, without mixing it with your bank balances.
Screens in this area
| Screen | What it does |
|---|---|
| Charts | The area's starting screen: a chart showing the evolution of your projected cash, filterable by subsidiary. From here you can also jump to the Weekly Report, the Monthly Report and the Manual Entries. |
| Weekly Report (Cash Projection) | A week-by-week table (8 weeks ahead, plus what's overdue) with your bank accounts, your estimated collections, your estimated payments, your manual income and expense entries, the net cash generated each week, and the accumulated cash. |
| Monthly Report (Cash Projection) | The same idea as the weekly report, but spread across the 12 months of the current year (with a "prior" column and the opening cash balance), showing the projected cash accumulated month by month. |
| Payments Projection by Week / by Month | A report with your outstanding vendor bills, grouped by vendor and spread across weekly or monthly columns according to their estimated payment date, with totals per column and per vendor. |
| Collections Projection by Week / by Month | Same idea as the payments projection, but with your outstanding customer invoices, grouped by customer and with an extra filter by sales rep. |
How to use it step by step
- Open the Cash Projection from Accounting → Projections → Charts, Weekly Report or Monthly Report, to see your consolidated cash (bank accounts + collections + payments + manual entries).
- If your plan has subsidiaries enabled and you're in a corporate group with subsidiaries in different currencies, choose a subsidiary before the report shows data; otherwise it would be adding amounts in different currencies, and the system will ask you to select one.
- Review each block of the table: first cash in banks, then accounts receivable, manual income entries, accounts payable and manual expense entries; at the bottom, the cash generated and the accumulated cash per period.
- To review only your collections or only your payments, without mixing them with bank balances, open the Payments Projection (Accounts Payable) or the Collections Projection (Accounts Receivable) by week or by month, and filter by subsidiary, location, customer/vendor or sales rep as needed.
- If an estimated date isn't right, open it from the document's date link in the Weekly Report to adjust it, without having to edit the entire invoice.
- If you're expecting an income or expense that doesn't have an invoice yet (a loan, a capital contribution, a special payment, etc.), record it in the Manual Cash Flow Projection Entries so it's automatically included in the Cash Projection.
- Use the Refresh button after changing filters to recalculate the report with the new criteria.
Main capabilities
- Consolidated cash view: bank accounts + collections + payments + manual entries, in a single weekly or monthly report.
- Independent collections and payments projection, grouped by customer or vendor, useful for collections follow-up or vendor payment planning.
- Automatic estimated-date calculation: if an invoice doesn't have a manually assigned estimated collection/payment date, AdmCloud calculates it by adding the payment term's days to the document date.
- Filters by subsidiary, location (including its sub-locations), customer/vendor and sales rep (the last one only in the collections projection).
- Currency conversion: amounts in a currency other than the consolidation currency are also shown in their original currency, alongside the converted amount.
- Zero-balance accounts excluded: the cash projection only lists bank accounts with a balance different from zero.
Key fields
| Field / filter | What it's for |
|---|---|
| Subsidiary | Restricts the report to one subsidiary. It's required when your corporate group consolidates subsidiaries in several currencies and there's no fixed subsidiary in the session. |
| Location | Filters by a location and automatically includes all of its sub-locations (available in the payments and collections projections). |
| Customer / Vendor | Restricts the report to a single relationship, useful for reviewing the detail of their outstanding invoices. |
| Sales rep | In the collections projection, filters invoices by the sales rep assigned to the customer or to the transaction. |
| Estimated collection/payment date | The date on which the customer is expected to pay or you're expected to pay the vendor. It's taken from the invoice if it was manually adjusted; otherwise it's calculated from the document date plus the payment term's days. |
| Total / Total in original currency | The invoice's outstanding balance (total amount minus payments already applied), converted to the consolidation currency and, when applicable, also shown in its original currency. |
| Cash generated / Accumulated cash | In the cash projection: how much net cash comes in or out during each period, and how much total cash you accumulate by that period. |
Important considerations
- These reports are read-only. They aren't "saved" — they're recalculated every time you open them or press Refresh, using the data that's current at that moment.
- Only active documents are included. Voided invoices are never part of any of these projections.
- Subsidiary required in certain scenarios. If your corporate group consolidates subsidiaries in different currencies and there's no fixed subsidiary in the session, the system requires you to pick one before showing amounts, so it doesn't add different currencies by mistake.
- The cash projection doesn't currently include projects or purchase orders pending billing: those blocks exist in the report but are disabled until that data is fully cleaned up in a future version.
Availability and permissions
- The Cash Projection (Charts, Weekly Report and Monthly Report) requires the "Journal Entries" permission of the user group.
- The Payments and Collections Projection (by week and by month) requires the "Vendors Accounts Payable" permission of the user group.
- With subsidiaries enabled, each user sees data according to the subsidiaries, locations and (for sales) the sales rep tied to their session.
Tips and common mistakes
Combine the Cash Projection with Manual Entries whenever you're expecting a money movement that doesn't have an invoice yet (a loan, a contribution, a special payment): that keeps the consolidated report complete without having to guess the difference.
If the report shows up empty or asks you to select a subsidiary, check the warning message at the top: your corporate group is likely mixing subsidiaries in different currencies, and you need to pick a specific subsidiary to be able to calculate amounts.
If an estimated collection or payment date doesn't match what you agreed with the customer or vendor, adjust it from the date link in the Weekly Report instead of recalculating it by hand: the system will place that invoice in the correct week or month the next time you open the report.
