Fiscal Sequence Types

Fiscal Sequence Types are the catalog that classifies what kind of fiscal document your company issues (for example, in the Dominican Republic: Consumer Invoice, Tax Credit Invoice, Credit Note, Debit Note, Purchases, Government, and others). Each type is the piece that connects your sales and purchase documents to their fiscal numbering, defined in the related Fiscal Sequences catalog.

Module: System Administration (Fiscal Configuration) Requires the "Fiscal Sequences" permission (SA_FiscalSequences)

What it is and what it's for

Before a document can be numbered with fiscal value, AdmCloud needs to know which category that document belongs to under your country's tax authority. That's the role of this catalog: each record represents a receipt type (for example, "Consumer Invoice" or "Credit Note") and is classified under a general Class (Invoices, Debit Notes, Credit Notes, Purchases, Withholdings, Remission Guides or Payments, depending on what your country recognizes).

AdmCloud automatically installs the standard Dominican Republic catalog (the traditional and electronic NCF codes required by the DGII), but you can also add your own types if your country or your operation requires it. This type is later selected when creating a Fiscal Sequence (where the prefix and numbering are defined), and it's also assigned by default to your Customers and Vendors so their invoices, credit notes and debit notes automatically pick up the right type.

The Electronic flag indicates whether that type corresponds to an electronic receipt (e-CF) rather than a traditional paper one; AdmCloud uses this distinction to validate and generate the matching receipt when invoicing.

How to use it

  1. Open Fiscal Sequence Types and review the list: you'll see the Code, the Name and whether the record is Active.
  2. Click New to create an additional type (your country's standard types come preloaded already, so you normally won't need to create others unless your operation has a particular case).
  3. Enter the Code (a short, unique identifier for this type) and the Name it will be shown with throughout the application.
  4. Pick the Class it belongs to (Invoices, Debit Notes, Credit Notes, Purchases, Withholdings, Remission Guides or Payments, depending on what applies in your country), so the type shows up in the right place when selecting it on your documents.
  5. Turn on Electronic if this type corresponds to an electronic fiscal receipt, and fill in the associated Print Format Label where it applies.
  6. Save the record. To edit it, open it from the list (Details screen) and use the Edit button; to stop using it without deleting it, mark it as Inactive.

Main capabilities

  • Standard Dominican Republic catalog preloaded (traditional types and their electronic equivalents), ready to use with no extra setup.
  • Classification by Class, so each screen (invoices, credit notes, debit notes, purchases, withholdings, remission guides, payments) only shows you the types that belong there.
  • The basis for fiscal numbering: every Fiscal Sequence is defined on top of a type from this catalog.
  • Can be set as a default on Customers, Vendors, subsidiaries and web stores, so their documents automatically pick up the right type without choosing it every time.
  • Distinguishes traditional receipts from electronic ones through the Electronic flag, used by AdmCloud to validate and generate the receipt when invoicing.

Key fields

Field What it's for
CodeA short, unique identifier for the fiscal sequence type (for example, the NCF code in the Dominican Republic). Required and cannot be repeated.
NameThe descriptive name this type is shown with throughout the application (for example, "Consumer Invoice" or "Credit Note"). Required.
ClassClassifies the type under a general document group: Invoices, Debit Notes, Credit Notes, Purchases, Withholdings, Remission Guides or Payments, depending on what your country recognizes and has enabled.
ElectronicIndicates whether this type corresponds to an electronic fiscal receipt (e-CF) rather than a traditional paper one.
Print Format LabelText associated with the print format this receipt type uses on your printed documents.
InactiveMarks this type as unavailable for new documents, without deleting it or affecting documents that already used it.

Validations when saving

  • The Code is required and must be unique; you can't create two types with the same Code.
  • The Name is required.
  • A type already in use can't be deleted: AdmCloud blocks the deletion if the type has a Fiscal Sequence configured, if it was already used by an existing document, or if it's set as the default on any Customer, Vendor, subsidiary or web store.

Availability and conditions

  • This catalog is available on every AdmCloud plan (including the entry-level plan); it doesn't depend on a specific edition or an additional Enterprise module.
  • Viewing, creating, editing or deleting fiscal sequence types requires the "Fiscal Sequences" permission on the user group, within the System Administration module.
  • Some classes only show up depending on the country configured for your company: for example, Remission Guides applies to Ecuador companies, and certain Withholding or Payment classes depend on the matching feature or country being enabled.
  • The preloaded standard catalog (traditional and electronic types) corresponds to Dominican Republic NCF codes; other countries may need to create their own types.

Tips and common mistakes

💡

You usually don't need to create new types. Your country's standard catalog already comes preloaded; before adding a new one, confirm it doesn't already exist under a different name or code.

⚠️

Can't delete a type? That usually means it already has a Fiscal Sequence, generated documents, or it's set as the default on a Customer, Vendor, subsidiary or web store. In that case, mark it as Inactive instead of trying to delete it.

ℹ️

This catalog doesn't number anything on its own. It only classifies the document type; the actual numbering (prefix, digits, next number) is configured afterwards in Fiscal Sequences, by selecting the type you create here.
