Hiring Portal Preferences
Hiring Portal Preferences is a single, company-wide configuration screen where you set the privacy texts candidates see on the public hiring portal: how many months you keep their data, how many business days you take to review their application, the text of your full privacy notice and whether the portal states that your hiring process is aligned with ISO/IEC 27001.
What is it and what is it for?
Before applying, the hiring portal tells candidates what happens with their data: what it is used for, who sees it and how long it is kept. This screen decides what the portal promises. While a value stays at 0 or empty, the portal shows a general text (the portal is in Spanish; for example, "Se usa solo para este proceso de selección") instead of promising a period or a certification your company hasn't defined.
These values are changed only from this screen. No other company configuration screen modifies them.
How to use it
- Go to Configuration > Hiring Portal > Preferences.
- Enter the Data retention months and the Review business days, or leave them at 0 if you don't want to state a period.
- Type or paste the text of your privacy notice in Full privacy notice. Use the editor toolbar for headings, bold, italics, lists and links. You don't need to publish it anywhere else: the portal shows it on its own page.
- Check Show ISO/IEC 27001 mention only if your hiring process complies with that standard.
- Click Save. The hiring portal shows the new texts immediately. Use the Hiring Portal link at the top to review it.
Key fields
| Field | What it changes on the portal |
|---|---|
| Show ISO/IEC 27001 mention | When on, the portal states that the hiring process follows a security management system aligned with ISO/IEC 27001. When off, that mention doesn't appear. |
| Data retention months | The portal tells candidates their data is kept for that many months and then securely deleted. Accepts 0 to 120; with 0 no period is stated. |
| Review business days | In the application confirmation, the portal says the hiring team will review it within that many business days. Accepts 0 to 365; with 0 no period is stated. |
| Full privacy notice | Full text of your privacy notice, with formatting. The portal publishes it on its own page and links to it as "Leer el Aviso de Privacidad completo". If it's empty, only the portal's privacy summary is shown. |
Availability
- This screen requires the Enterprise plan with the Human Resources module enabled for your company. Without that module it doesn't appear in the menu.
- Requires the "Configuration" permission of the System Administration module in your user group.
Tips and common errors
What you set here is a promise to the candidate. If you state that data is kept for 12 months, your company must have a process to delete it when that period ends. Turn on the ISO/IEC 27001 mention only if your company complies with that standard.
If you paste the notice from Word or from a web page, the editor keeps headings, paragraphs, lists, tables, bold, italics and links, and removes images, colors and fonts, which the portal doesn't show. What you see in the editor is what the candidate will see.
Changing the notice doesn't change what earlier candidates accepted. Each application keeps a copy of the notice in effect at that moment, as evidence of what the candidate accepted.
The contact email for candidates to exercise their rights over their data is the company email you set in the company information.
