Dashboard and Financial KPIs
This area groups two related things: customizing your Dashboard (the home screen with KPI cards, charts and reports) and the Financial Dashboard, a dedicated board with yearly trends and a point-in-time summary of your financial indicators. Both draw from the same catalog of your company's KPIs (key performance indicators).
What it is and what it's for
The Dashboard is AdmCloud's home screen: a collection of cards (panels) you can turn on, turn off and reorder as you like, with sales, collections and CRM opportunity charts, custom reports and, if your plan allows it, financial indicators (KPIs). This is where you customize exactly which panels you see and in what order.
The Financial Dashboard is a separate screen aimed at the business owner or financial manager, with two views:
- Financial Dashboard: four yearly totals (Income, Costs, Expenses and Operational Result) plus 16 charts showing the monthly trend of revenue, costs, expenses, profit, current assets and liabilities, accounts receivable and payable, inventory, liquid assets, working capital, liquidity ratios and accounts-receivable days.
- Indicators Summary: the point-in-time value of every KPI for a specific month and year, shown as cards, without trend charts.
Finally, KPI customization lets you choose which indicators appear on the Dashboard and define, for each one, the value range that colors its gauge (from red to green), so you can tell at a glance whether a number is good or bad for your business.
How to use it
Customize the Dashboard
- Open the Dashboard configuration from the settings icon on your home Dashboard, or by going directly to this screen.
- Turn each panel on or off with its checkbox; disabled panels move to the bottom of the list so you can find them easily if you want to turn them back on.
- Drag and drop the rows to change the order the cards appear in on your Dashboard.
- Save your changes. The new order and panel selection apply to your Dashboard right away.
Customize the KPIs (ranges and colors)
- Open the KPI customization screen, where you'll see two groups: regular KPIs (high values are good, like Profit or Sales) and reversed KPIs (low values are good, like Accounts Receivable Days or Cost of Sales).
- Check or uncheck "Show in Dashboard" for each KPI to decide whether it appears on the Dashboard.
- Fill in Minimum, Bottom Strip, Top Strip and Maximum to define that KPI's gauge range (see Key fields below).
- Check "Update Maximums and Minimums of all users" if you want these ranges to apply to every user in your group, not just you.
- Save your changes. You can use the "Select All" and "Deselect All" buttons to check or uncheck every KPI at once.
Review the Financial Dashboard
- Pick the Year you want to review.
- Use "Change Year" to reload the charts with already-calculated data (faster, using the values from the last calculation of the day).
- Use "Recalculate KPIs" when you need up-to-the-minute figures; AdmCloud warns you the process can take a few minutes before continuing.
- Switch between "Financial Dashboard" and "Indicators Summary" using the link at the top of the screen.
Review the Indicators Summary
- Pick the Year and Month you want to review.
- Refresh to see each KPI's value for that period, shown as cards.
Key capabilities
- Turn on, turn off and reorder (drag and drop) the panels on your Dashboard.
- Choose which KPIs show up on the Dashboard, independent of their value range.
- Set a Minimum-to-Maximum range, with warning bands, to color each KPI's gauge.
- Apply your KPI ranges to every user in your user group with a single action.
- Review 16 financial charts with the current year's monthly trend compared to the prior year.
- Recalculate KPIs on demand instead of waiting for the day's automatic recalculation.
- Review a point-in-time summary of every indicator for any month and year.
- Every KPI drills down to its detail screen, such as a customer's account statement or cash availability.
KPIs available by module
Besides requiring the Enterprise plan (or a technical/partner user), each KPI only shows up if your company has the matching module active:
| Required module | KPIs it unlocks |
|---|---|
| Accounting | Cash, Cash in Bank, Gross/Net/Operational Profit, profit margins, Assets, Liabilities, Current Assets and Liabilities, Equity, Operational Expenses, Working Capital, Current Ratio, Acid Test, ROA, ROE and Debt-to-Assets Ratio. |
| Accounts Receivable | Accounts Receivable, Month/Year Collections, Accounts Receivable Turnover and Accounts Receivable Days. |
| Sales (Billing) | Sales for the Month and Sales Year. |
| Inventory | Cost of Sales Year, Inventory, Inventory Turnover and Inventory Days. |
| Purchasing | Accounts Payable and Accounts Payable Days. |
| HR | Training Hours. |
| Payroll | Employee Count. |
| Sales + Payroll (both modules active) | Sales per Employee. |
| Customer Service | Average Days on Service Requests. |
Key fields (KPI customization)
| Field | What it's for |
|---|---|
| Show in Dashboard | Turns the KPI on or off on the Dashboard without erasing its range configuration. |
| Minimum | The lowest value the KPI's gauge can display (the red cell in the header). |
| Bottom Strip | Values below this number show in red; above it, in yellow. |
| Top Strip | Values above this number show in green; below it, in yellow. |
| Maximum | The highest value the KPI's gauge can display (the green cell in the header). |
| Update Maximums and Minimums of all users | When checked, the ranges you save apply to every user in your group, not just your own view. |
On reversed KPIs (where a low value is good, like Accounts Receivable Days or Cost of Sales) the color order flips: Minimum shows in green and Maximum in red.
Validations when saving
- Minimum cannot be greater than the Bottom Strip.
- The Bottom Strip cannot be greater than the Top Strip.
- The Top Strip cannot be greater than the Maximum.
- These checks only apply to the values you've actually filled in (non-zero).
- You can't enable more panels than your plan allows (see Availability and permissions); the News panel doesn't count toward that limit.
Availability and permissions
- Viewing and customizing the Dashboard (enabling/disabling and reordering panels) requires the "Dashboard" permission on your user group; it's available on every plan.
- The maximum number of panels you can enable at once on your Dashboard depends on your plan: 6 panels on most plans, or 16 panels on the Enterprise plan.
- The Financial Dashboard, the Indicators Summary and the full KPI list (to view or customize) are only available with the Enterprise plan, or for AdmCloud technical/partner user types.
- Even with KPI access, each individual indicator also requires its own active module (Accounting, Accounts Receivable, Sales, Inventory, Purchasing, HR, Payroll or Customer Service); if the module isn't active, that KPI simply doesn't show up in the list.
Tips and common issues
If you don't see the Financial Dashboard or KPI option, check your plan first: this feature requires the Enterprise plan. If you think you should have it, contact AdmCloud support.
"Can't select more than N panels in this edition": appears when you try to enable more cards than your plan allows. Turn off a panel you no longer use before enabling a new one, or consider upgrading your plan if you need more.
A KPI that doesn't appear in the list usually means the module that produces it (for example, Inventory or Payroll) isn't active in your company, not a configuration error.
Use "Change Year" for quick lookups and "Recalculate KPIs" only when you need to. A forced recalculation reprocesses all of your financial data and can take several minutes; for already-calculated data, simply changing the year is enough.
