Home & Account

Home is the first screen you see after logging into AdmCloud (your dashboard), and it also groups everything related to your company's account and subscription: the AI Assistant, sending suggestions to the AdmCloud team, links to integrated external applications, the Plans catalog, upgrading or activating your subscription, your Billing and licenses, the Active Modules of your Enterprise edition, signing pending contracts, the Referrals program and closing your account.

Module: System Administration The Home dashboard needs no special permission; several account screens require being the account Owner or an Administrator

What does this area include?

"Home" groups screens of very different nature under the same application controller. Here's a quick map of what each one does before going into detail:

Home Dashboard

Your day-to-day work screen: a dashboard built from panels (reports, charts, reminders, shortcuts) that you can drag to reorder and, if you hold the dashboard-update privilege, remove with each panel's close (X) button. A single user can have several saved dashboards; the Customize button lets you edit the one you're viewing.

As an Administrator, you can view another user's or another User Group's dashboard instead of your own — useful to review how an employee's dashboard is set up.

  • The Reminders and Shortcuts panels only appear if you added them to your dashboard, and their content is calculated according to your own permissions.
  • The system can show automatic banners above the dashboard: demo company, trial period about to expire (with an optional link to request a live demo), past-due balance, scheduled account closing (shows the last day you can use the company; only the Owner and Administrators see it), or exceeding the number of user licenses purchased.
  • On your birthday, if your company has that enabled, a celebration animation shows once a year.
  • The side menu can show a Recently visited pages module with the last screens you visited, if your company has that feature active. Each document or record you open is listed separately with its number or name (for example, Invoices - FAC-0005), so you can go straight back to it.

Dashboard assistant

The AtIna button on the dashboard toolbar shows or hides (sliding it), above the panels, a field where you write in your own words what you want to change on your dashboard. For example: "remove the opportunities panel and put accounts receivable first" or "show sales by month as a line". The system remembers in this browser whether you left the field visible or hidden.

  1. Write your request and press Enter. Shift+Enter adds a line without sending. You can make the field bigger by dragging its bottom-right corner.
  2. The assistant makes the changes right away, without asking for confirmation. The dashboard updates instantly, without reloading the page: new panels appear and the rest rearrange without loading again. What it did shows in the conversation above the field, and below it there is an Undo button that returns the dashboard to how it was before that request (only the last one, for 30 minutes).
  3. If your request is ambiguous or asks for something the assistant can't show, nothing changes: it asks which panel you mean or explains what it can do.

Conversation. The conversation with the assistant shows above the field, and the assistant remembers what you asked before. So you can build on the last thing it did without repeating everything, for example: "a pie with my top 5 customers", then "now only the Santiago branch" and then "make it this year". You can also answer when it asks you a question, or keep asking about an explanation ("and in July?"). The conversation lasts while the tab is open; the New conversation button clears it to start over.

Quick actions. Below the field, next to Create a dashboard for:, there are buttons that build the dashboard for a role in one click: General manager, Finance manager, Sales manager, HR manager, Purchasing manager, Production manager and Maintenance manager. Each button replaces your dashboard panels with a fixed set of panels for that role (up to 8, or fewer if your edition allows fewer), always in the same order; the news panel stays. It only uses panels you can see according to your modules and privileges, and a role's button only appears if you have at least 4 panels available for it. If you don't like it, use Undo or keep adjusting it in the conversation.

The purchasing manager dashboard includes the Pending Purchase Orders panel: the 10 vendors with the largest amount still to be received on authorized, not closed purchase orders (ordered minus already received), in base currency. You can also add it from Configure; its Detail link opens the pending receptions report.

The assistant can:

  • Add one of the panels available to you, at the end or at the position you ask for.
  • Remove a panel from your dashboard.
  • Move a panel to another position.
  • Change the chart type of a panel (bars, lines, pie, doughnut, etc.), only among the types that panel supports.
  • Create a new chart when no existing panel shows what you ask for, for example "a pie with my top 5 customers in the last 12 months" or "expenses by month this year compared with last year". You can filter it by a location (branch) or a subsidiary.
  • Modify a chart the assistant created: change its period, grouping, number of items, chart type or filter, for example "make the top customers chart a pie and only for the Santiago branch" or "remove the branch filter from the sales by item chart".
  • Explain your data: answer questions like "why did sales drop in August?", without changing the dashboard.

New charts are built from a metrics catalog:

Metric Can be shown Periods
Sales (net)By month (optionally compared with the previous year)This year or last year
Sales (net)Top customers, sales reps, item classes, locations or itemsThis month, last month, this quarter, this year, last year or last 12 months
ExpensesBy month (optionally compared with the previous year) or top expense accountsThis year or last year
Gross margin (sales minus cost)Top customers, sales reps, item classes, locations or itemsSame as sales by category
CollectionsBy month (optionally compared with the previous year)This year or last year
Accounts receivableBy aging: 0-30, 31-60, 61-90 and over 90 daysAs of today
Accounts payableBy aging: 0-30, 31-60, 61-90 and over 90 daysAs of today
Inventory costItem classes with the highest cost on handAs of today
Expense budgetBudget versus actual by parent account, year to dateThis year or last year

Each metric appears only if your plan includes the module and you have the permission of the equivalent screen (for example, accounts receivable or budgets). Gross margin also requires the permission to see item costs.

Charts can be filtered by location (branch), subsidiary, customer, item class or sales rep, depending on what each metric supports: for example, "sales by month for customer Juan Pérez" or "margin by item for the Beverages class". For the customer, just write their name; if several match, the assistant asks which one.

Questions about your data. You can also ask the assistant why something changed or how an indicator is doing, for example "why did sales drop in August?", "how are collections compared with last year?" or "which customers explain the margin drop this quarter?". The assistant queries the catalog metrics that help answer (for example, sales by month and sales by customer for August and July) and shows below the field a conclusion with the main points and their figures. The explanation uses only that data and respects your permissions and the filters you work with; if the data isn't enough to answer, it tells you. Asking a question doesn't change the dashboard. To skip typing the question, the panels the assistant can explain show, on hover, an Explain button (✨) next to the X that asks it to explain that panel. It appears on charts created by the assistant and on the sales, collections, accounts receivable, accounts payable, inventory cost, expenses and expense budget panels. It doesn't appear on financial indicators (margins, liquidity, turnover), cash, results or service, manufacturing or human resources panels, because the assistant doesn't have that data. The explanation uses the panel without any filters you saved on it.

Charts created by the assistant show an Assistant badge, update themselves according to their period (for example, "this month" is always the current month) and have a button to recalculate the data. You remove, move or change their chart type like any other panel. Sales respect the subsidiary, location and sales rep you work with.

ℹ️

The assistant only offers the panels and metrics your permissions and plan allow (sales require permission on invoices and expenses on the chart of accounts). If you lose that permission, the chart shows a notice instead of the data. It also respects your edition's maximum number of panels and doesn't duplicate panels already on the dashboard. It only acts on your own dashboard: it doesn't appear while an Administrator is viewing another user's dashboard.

AI Assistant

Opens a full-screen artificial intelligence chat where you can discuss your business, ask for reports in plain language, or ask how to use AdmCloud. It's the same technology as the floating AI panel available across the rest of the system, just in a dedicated full-screen view.

Suggestions

A short link that takes you to the board where you can propose new features or improvements for AdmCloud and vote on the ones other customers already proposed, helping the product team prioritize what to build next.

Integrated External Links

Some AdmCloud partner tools, or internal utilities of the product itself, are shown embedded inside AdmCloud rather than opening in another tab. When the integration requires it, AdmCloud automatically passes the external link a token that identifies your session, so the external tool knows who you are without asking you to sign in again.

Plans, upgrading and billing

These screens cover your entire subscription lifecycle, from comparing plans to paying and managing your card and licenses:

  • Plans & Pricing: a comparison catalog of every edition (Billing, Start, Basic, Standard, Premium, Premium Plus, Premium Plus Payroll, Enterprise) with their prices and capabilities, monthly or annual.
  • Plan changes during the trial period: while your company is on its trial period, the account Owner can freely change plans from the catalog, with no card on file yet.
  • Upgrade Plan: once your company is already paid (no longer on trial) and is not Enterprise, you can move to a higher plan in a single step using the card already on file, without going through the sales team. If your company is Enterprise or still on trial, this button takes you to the Plans catalog instead.
  • Activate your Subscription: the screen to turn a trial company into a paid account for the first time: register your credit card, choose monthly or annual billing, apply a promo code and, if you need a fiscal invoice, provide your billing details.
  • Confirmation: after subscribing or applying a promo code, you see a thank-you screen confirming the discount applied, if any.
  • Billing & Licenses: shows your current plan, your credit card on file (visible only to authorized Administrator users), how many user licenses you've purchased and used by type, and your billing and contact information.
  • Purchasing additional licenses: available only to Enterprise companies, lets the account Owner purchase more user licenses, additional subsidiaries (regular or read-only) and payroll employee packs, without opening a case with sales.
ℹ️

If your company pays by credit card and a user is flagged as not allowed to update it manually, that user should contact AdmCloud's billing department instead of trying to change it from this screen.

Active Modules

A read-only screen, available on the Enterprise edition, that shows a yes/no flag for each add-on module your company has enabled: Advanced Purchasing, Advanced Financials, Inventory, Advanced Inventory, Manufacturing, Advanced Manufacturing, Projects, Advanced Projects, Demand Planning, Customer Service, WMS, CRM, eCommerce, Budgeting, Fixed Assets, Maintenance, Incentives and Payroll, among others. To turn a module on or off, contact your AdmCloud account executive; this screen has no controls to change them.

Sign Contract

When your company has a contract pending acceptance, AdmCloud automatically redirects the account Owner to this screen before letting them continue into the rest of the system. It shows the full text of the contract and, with a single button, records your acceptance together with the IP address you signed from, as evidence.

Referrals Program

Shows your personal referral link: share it with other companies, and if they sign up through it and purchase a paid plan, you receive a benefit under the current program. The screen also lists the companies you've already referred, with their plan, creation date, closing date (if applicable) and whether they've been hired or are still under evaluation.

Close Account

Lets you permanently close your company account in AdmCloud. You must pick a closing reason from a list before you can confirm; the close button stays disabled until you select one. The system asks for an extra confirmation before executing the closure.

⚠️

Closing the account is a sensitive action and can only be run by an Administrator user. Before continuing, make sure you've exported or backed up any information you need to keep.

Key rules and validations

  • Freely changing plans from the Plans catalog is only available while the company is on its trial period, and only the account Owner can run it.
  • The chosen plan must be active and "packaged" (sold to the public); you can't switch to an inactive or internal plan.
  • Upgrading your plan in a single step (without going through sales) requires that your company is no longer on trial and is not the Enterprise edition; in either case you're redirected to the Plans catalog instead.
  • Purchasing additional Enterprise licenses can only be done by the account Owner.
  • An already-applied promo code isn't swapped automatically: if you already changed one manually, AdmCloud won't replace it with another automatic one.
  • Closing the account requires picking a reason from the list; only an Administrator user can run it.
  • If AdmCloud scheduled your account closing, the company keeps working normally until the last day shown in the notice. From the start of the next day it can no longer be accessed, and open sessions stop within a few minutes.

Availability

  • The full-screen AI Assistant requires your company to have that feature active.
  • Purchasing additional licenses from Billing requires the Enterprise plan, the corresponding feature active, and must be run by the account Owner.
  • The Active Modules screen only applies to Enterprise edition companies.
  • Single-step Upgrade Plan requires your company to have that feature active; otherwise the Plans catalog is always used to manage the change with sales.
  • The "Request a demo" link on the trial-expiration banner only appears if your company has that feature active.
  • The automatic birthday celebration requires the corresponding feature active and only fires for paid companies (not trial, not demo).
  • The Recently visited pages module on the side menu requires its corresponding feature active.
  • The Dashboard assistant requires its corresponding feature active, artificial intelligence enabled for your user and your user group (the same rule as the AI Assistant) and the dashboard-update privilege. To keep AI usage under control it accepts up to 10 requests per minute per user.

Tips and common issues

💡

Can't find the "Upgrade Plan" button? If your company is still on trial or is already Enterprise, AdmCloud takes you to the Plans catalog instead; from there you can start the plan change or contact sales.

ℹ️

The Reminders and Shortcuts panels on your dashboard are calculated using your own user permissions: if you don't see a reminder or shortcut you expected, check that you have access to that screen.

⚠️

"You don't have permission to view another user's dashboard." Only Administrators can view or customize the dashboard of a different user or User Group than their own.
