Item Prices

The Prices screen is where you enter and look up, item by item, the price it has on each Price Level: the currency, optionally a different unit of measure, and an additional discount percentage. It's the operational counterpart of Price Levels.

Module: Inventory Requires the "Item Prices" permission

What is it and what is it for?

Every time you create a Price Level (for example "Wholesale" or "VIP"), you need to specify how much each item costs on that Level. That's what this screen is for: each Prices line stores the price of one item on one specific Price Level, in a given currency.

If your company handles the same item in more than one unit of measure (for example, you sell by "Box" but also by "Unit"), you can enter a different price for each combination of item, Price Level and unit of measure. You can also add an additional discount percentage that applies on top of that price.

From the Prices list you can review your items' current prices at a glance, filtering by Subsidiary, Location, Price Level, Brand or Item Class — handy for reviewing or auditing your price list without opening each item one by one.

To understand what a Price Level is, how it relates to your customers, and how "based on another one" Levels work, see the manual's Price Levels page.

How to use it

  1. Open the Prices list. From the Inventory module, open Prices. You can filter the list by Subsidiary, Location, Price Level, Brand or Item Class, or search for an item by text.
  2. Create a price line. Click New and select the Item, the Unit of Measure, the Price Level it applies to, and the Currency it's quoted in.
  3. Enter the price. Type the unit Price and, if it applies, an additional Discount % to apply to it.
  4. Optional — Destination. If your company has the Transportation (TMS) module enabled, you can also link the price line to a specific Destination.
  5. Save using the Save button.
  6. View, edit or delete. From a price line's detail you can see its full information, edit it, or delete it using the corresponding buttons.

Key fields

Field What it's for
ItemThe item this price belongs to. It's required and, once the line is saved, it can no longer be switched to a different item.
Unit of MeasureThe unit this price is quoted in (for example "Box" or "Unit"). It's required.
Price LevelThe Price Level (Wholesale, Retail, VIP...) this price applies to. It's required.
CurrencyThe currency the price is expressed in. It's required.
PriceThe item's unit value on that Price Level, currency and unit of measure.
Discount %An additional discount percentage applied on top of the entered Price.
DestinationOnly visible if your company has the Transportation (TMS) module enabled; lets you link the price to a specific Destination.

Validations when saving

  • Item, Unit of Measure, Price Level and Currency are required. You can't save a price line without these four values.
  • The Item can't be changed once the line has been created. If you entered the price for the wrong item, you must delete the line and create a new one with the correct item.
  • A price line that's in use can't be deleted. If the record is referenced elsewhere in the system, AdmCloud blocks the deletion and lets you know.

Availability and permissions

  • Access to this screen is controlled by the "Item Prices" permission on your user group, with separate levels for browsing, adding, editing and deleting.
  • Seeing the item's cost next to the price on the list also depends on your user having the "Item Costs" permission.
  • The Destination field only shows up if your company has the Transportation (TMS) module enabled; if it isn't enabled, this field simply doesn't appear on the form.

Tips and common pitfalls

💡

Avoid entering prices item by item when you don't have to. If a Price Level is always a fixed percentage of another one (for example, Wholesale always 15% cheaper than Retail), set it up as a Level "based on another one" from the Price Levels screen instead of entering a line here for every item.

⚠️

Don't duplicate price lines. The system doesn't stop you from creating two lines for the same item, Price Level and currency; if that happens, your price reports may show confusing values. Check the list filtered by item before adding a new line.

ℹ️

Looking to create or configure a new Price Level? That's done from the Price Levels screen, not here. This screen only captures your items' prices within Levels that already exist.
