Sales Territories
Sales Territories is a simple catalog that lets you split your market by geographic area or business criteria (for example "North", "South : Metro Zone"). They're assigned to your Customers and show up on your sales documents, your Sales Budgets, your dispatch Destinations and your mail Campaigns, so you can filter and analyze your business by territory.
What it is and what it's for
Each record in the catalog has a required, unique Name and optional Notes. If your company has the hierarchy enabled (see below), you can also set a Parent Sales Territory to group several smaller territories under a larger one.
Once created, the territory becomes available to assign to your Customers, and from there it's automatically inherited by their sales documents (Invoices, Quotes, Sales Orders, Receipts, Notes, Returns). This lets you, for example, see how much you sell by area, plan a Sales Budget by territory, or filter your reports and dashboard widgets by this dimension.
How to use it
- Open the catalog. Go to the Sales Territories list, where you'll see each territory sorted alphabetically by its hierarchical name (for example "North : Metro Zone").
- Create a new territory. Use the add button and type a short, descriptive Name. Add Notes if you need to clarify what it covers.
- Assign it a parent territory, if applicable. This field only shows up if your company has the territory hierarchy enabled (see "Territory hierarchy" below). Use it to group a small territory inside a broader area.
- Save. AdmCloud validates that the name isn't empty, that no other territory already uses the same name, and (if applicable) that the chosen hierarchy is valid.
- Assign it to your Customers. From the customer's record, or in bulk from the Change Sales Rep option on the Customers list, set the territory that applies to them.
- View or edit an existing record. Click the name in the list to see its detail, and use the edit button if you need to correct the name, notes or its hierarchy.
Territory hierarchy
If your company needs it, AdmCloud can enable a hierarchy of up to 3 levels between territories (for example: "North" → "Metro Zone" → "Route 5"). When it's enabled, the form shows the Parent Sales Territory field, and selection lists (including the one on the Customer form) show the full compound name, such as "North : Metro Zone : Route 5".
- A territory can't be its own parent.
- The chosen parent territory must exist.
- A territory can't become a sub-territory of a territory that's already its own child (prevents cycles).
- The hierarchy allows a maximum of three levels: if the parent territory you choose already has another parent of its own, AdmCloud rejects the save.
If your company doesn't have this hierarchy enabled, the catalog works as a flat list: only the Name field exists, with no parent territory.
Key fields and validations when saving
| Field | Description |
|---|---|
| Name | Short description of the territory. Required and must be unique: two territories can't share the same name. |
| Parent Sales Territory | Places the territory inside a hierarchy of up to three levels. Only visible if your company has this feature enabled; optional. |
| Notes | Optional free text to clarify what area or criteria the territory covers. |
You can't delete a territory that's already in use. If you try to delete a Sales Territory assigned to a Customer, a dispatch Destination, a Sales Budget, a mail Campaign, a sales document, or that has sub-territories under it, AdmCloud blocks the deletion and shows you the list of records using it, so you can reassign them to another territory first if you really want to delete it.
Where this information appears
- On the Customer record, and in bulk from the "Change Sales Rep" option on the Customers list.
- On your sales documents (Invoices, Quotes, Sales Orders, Receipts, Notes and Returns), inherited from the customer.
- On Sales Budgets, to plan and compare your sales goals by territory.
- On dispatch Destinations in Transportation Management (TMS).
- On CRM mail Campaigns, to segment your mailings by area.
- As a filter on dashboard panels and widgets.
Availability and permissions
- To view, create, edit or delete records you need the "Sales Territories" permission at the matching level (View, Add, Edit or Delete).
- The territory hierarchy (Parent Sales Territory field and compound name) is an optional feature AdmCloud enables for your company; if you don't see it, your company has it turned off and the catalog works as a flat list.
Tips and common mistakes
Map out your territories before creating them. First define the actual areas you split your sales force into (for example by region, city or route) and, if you need hierarchy, create the general territories first and then their sub-territories, so the compound name stays organized and easy to read in your reports.
"Cannot delete due to dependencies". This message means the territory is assigned to a Customer, a Destination, a Sales Budget, a mail Campaign, a sales document, or has sub-territories under it. Reassign those records to another territory (or delete its sub-territories first) before trying to delete it again.
Need to reassign the territory of many customers at once? Use the "Change Sales Rep" option on the Customers list: besides the sales rep, it lets you update the Sales Territory of several customers in a single operation.
