Shipment Ports
Shipment Ports is a simple catalog where you register the ports (sea, air or land) your imported merchandise usually arrives from: for example "Shanghai", "Miami" or "Puerto Cortés". Once created, the port becomes available to assign to your Items and to each Vendor's configuration, leaving a record of where each product normally ships from.
What is it and what is it for?
Each record in this catalog is simply a name identifying a shipment port, plus optional notes. AdmCloud doesn't attach any automatic behavior to the port itself (it doesn't calculate freight, duties or transit times): it's reference data linked to your Items and Vendors so your purchasing, logistics or customs team knows where each product typically ships from.
It's especially useful if you import merchandise from several origins and need to record, per item or per vendor, its usual shipment port — for example to coordinate customs clearance or for your purchase-planning reports.
How to use it
- Create the ports you need. Go to Inventory > Shipment Ports and use the Add button to create each one, entering its name and, if you want, a note with extra information (for example the country or region it belongs to).
- Assign it to an Item or a Vendor. On an Item's record, or on an Item's per-vendor configuration, pick the matching port in the Shipment Port field. The field includes a search-as-you-type autocomplete and a direct link to create a new port without leaving the form.
- Review or edit an existing record. Click the name in the list to see its details, and use the edit button if you need to fix the name or the notes.
- Delete it once you no longer use it. You can only delete a shipment port that isn't assigned to any Item or any Item-per-Vendor configuration.
Key fields
| Field | What it's for |
|---|---|
| Name | Identifies the port in selection lists (for example "Puerto Cortés"). It's required, must be unique (you can't create two ports with the same name) and allows up to 200 characters. |
| Notes | A free-text, optional field to clarify any extra information about the port. |
Validations when saving
- Name is required.
- Name must be unique: you can't create a shipment port with a name already used by another existing one.
- A port in use can't be deleted: if any Item or any Item-per-Vendor configuration has that port assigned, AdmCloud blocks the deletion and shows you the list of items using it.
Where this information shows up
- As the Shipment Port field on an Item's record.
- As the Shipment Port field on an Item's per-vendor configuration (useful when you buy the same item from different vendors that ship it from different ports).
- In the Reorder Level and Requirements Planning module, when purchase planning is filtered or grouped by origin port.
Availability and permissions
- This feature is only available on the Enterprise plan and requires the Advanced Inventory module to be enabled in your company's configuration. If your company doesn't meet these conditions, the option won't show up in the menu.
- To view, create, edit or delete shipment ports you need the "Shipment Ports" permission at the matching level (View, Add, Edit or Delete), assigned by your administrator in Security.
Tips and common pitfalls
Create them on the fly. You don't need to preload every shipment port before you start: the Shipment Port field on Items and Vendors includes a link to create a new one right there, without leaving the form you're working on.
Can't delete a shipment port? Check the error message: it lists the items (their own record or a per-vendor configuration) that still have it assigned. Change or clear the port on those first before trying to delete it again.
Don't see this option in your menu? Check with your administrator that your company has the Enterprise plan with the Advanced Inventory module active, and that your user has the "Shipment Ports" permission assigned.
