Reminders
Reminders are your Dashboard's "to-do" panel: a short list of direct links to what's waiting for you — overdue invoices, orders pending authorization, items to reorder, requests to approve, and many more — each with a counter telling you how many there are. Every user customizes which ones they see, in what order, and which ones to flag as important.
What is it and what is it for?
Each reminder represents a "pending items" query in some area of the system: overdue invoices and notes, purchase or sales orders waiting for authorization, time-off or hour-entry requests pending approval, items below their reorder point, open maintenance or manufacturing orders, service contracts about to expire, and more. Instead of opening every screen to check whether something is pending, the Reminders panel shows you the up-to-date count and a direct link to the matching filtered list.
Which reminders you can turn on depends on which modules your company has enabled (CRM, Sales, Purchasing, Banking, Inventory, Service, Projects, Maintenance, Manufacturing, Payroll, HR, etc.) and, for some of them, on your own permissions — an authorization reminder you can't actually authorize simply won't show up in your available catalog.
Screens in this area
| Screen | What it does |
|---|---|
| Reminders panel (Dashboard) | Shown on your main dashboard as one more panel. Lists your active reminders, with "important" ones sorted first, each with its counter. A refresh button clears the counters' cache and recalculates them. A "Customize" button opens the customization window without leaving the dashboard. |
| Customize (/Reminders) | The same customization table, as a full page: the complete catalog of reminders available to you, with checkboxes to enable them and mark them important, and a drag handle to reorder them. You also land here by clicking "Customize" from the panel, or from the "Customize" button an administrator sees on another user's dashboard. |
| Reminders Audit | A read-only screen, exclusive to administrators, listing every user with a Reminders panel on their dashboard, along with the reminders they have active. A checkbox lets you show only users who have at least one active reminder. |
How to use it, step by step
- From your dashboard, find the "Reminders" panel and click Customize. You need the Dashboard edit permission; if you don't see the button, your user group doesn't have it.
- Check "Enable" on every reminder you want on your panel. The table only lists reminders for the modules your company has active and, for some of them, for the permission you hold.
- Check "Important" on the ones you want to stand out. Important reminders are shown first on the panel, in bold and in a larger font.
- Drag rows from the handle on the left to change the order they appear in on your panel.
- Use the search box (if you opened the popup from the dashboard) to filter the table by module or reminder name, without losing the marks you've already made.
- Save. Your dashboard's panel updates right away with your new selection and order, with no page reload.
Main capabilities
- Live counter: every active reminder shows how many pending items it has right now; the value is cached for 10 minutes, and you can force a refresh with the panel's refresh button.
- Direct link: clicking a reminder takes you straight to the already-filtered list of those pending items (for example, your purchase orders awaiting authorization), without applying the filter yourself.
- Free ordering and importance flag: you decide which ones you see and in what order, and can highlight the ones that matter most to you.
- Custom reports as a reminder (Enterprise plan): any SQL custom report flagged to "show as reminder" shows up in your catalog just like the standard reminders.
- Customizing another user's panel: an administrator can open another user's dashboard and customize their Reminders panel on their behalf.
- "New" badge: reminders recently added to the product show a "New" label in the customization table during their first 30 days.
- Audit for administrators: see at a glance which users have reminders set up and which ones, without opening each user's dashboard.
Key fields
| Field | What it is for |
|---|---|
| Module | The system area the reminder belongs to (Sales, Purchasing, Banking, Inventory, Payroll, etc.), so you can find it easily in the table. Each module is shown with a representative icon in front of its name, so you can recognize it at a glance while scanning the list. |
| Name | The reminder's description, exactly as it will appear on your dashboard panel. |
| Enable | Turn it on so the reminder shows on your panel. Uncheck it to stop showing it (it stays available so you can re-enable it any time). |
| Important | Highlights it on your panel: it's shown first, in bold and in a larger font, so it doesn't slip past you. |
Validations when saving
- Active reminders limit: you can enable up to 6 reminders on most plans, or up to 16 on the Enterprise plan. Trying to enable more is rejected, with a message stating the allowed maximum.
- Only an administrator can customize another user's panel. A user without administrator privileges can only save changes to their own panel.
- The Dashboard edit permission is required to save any customization change, whether to your own panel or someone else's.
Availability
- The Reminders panel is available on every plan, with a maximum of 6 active reminders at a time (16 on the Enterprise plan).
- Each individual reminder only appears in your catalog if the matching module is enabled for your company (for example, Payroll reminders require the Payroll module active, Maintenance ones require Industrial Maintenance, and so on).
- Showing custom reports as a reminder requires the Enterprise plan and the report having its corresponding option checked in Custom Reports.
- Viewing the Reminders panel needs no special permission; customizing it (your own, or, if you're an administrator, someone else's) requires the Dashboard edit permission.
- The Reminders Audit is only available to users with administrator privileges.
Tips and common mistakes
Only enable the reminders you'll actually check. With the limit of 6 (or 16 on Enterprise), it's better to keep the ones you truly use every day than to fill the panel with reminders you never look at.
Only mark "Important" what truly needs your immediate attention. If you flag everything as important, nothing really stands out from the rest.
Counter not updating? Values are cached for 10 minutes to avoid overloading the system. Use the panel's refresh button to force an immediate recalculation.
Don't see the "Customize" button? You need the Dashboard edit permission in your user group — ask your administrator for it if you believe you should have it.
