Notifications
Notifications is AdmCloud's built-in alert system: it warns you, in real time and by email, when something you care about happens because of another user's action — most commonly, when a document is assigned to you for authorization. From this screen you can turn that alerting on or off for yourself and review the history of everything you were notified about.
What is it and what is it for?
AdmCloud can let you know, without you having to go looking for it, when another user does something that involves you — today this is mainly when a transaction (a Quote, a Purchase Order, a Bill Payment, etc.) that is pending authorization gets assigned to you as the authorizer. When that happens, AdmCloud can show you a pop-up (toast) right away and send you an email, so you find out immediately instead of only when you happen to open the document list.
This screen is where you control that behavior for your own user: you decide whether you want to keep receiving those pop-ups and emails, or turn them off, and you can always look back at the notifications you've received, even the ones you missed.
How notifications reach you
- Bell icon (top navigation bar): shows a dropdown with a shortcut to turn notifications on/off and a link to this full history screen. It's only shown when your company qualifies for this feature.
- Pop-up (toast): a message that appears on screen the moment another user's action affects you, without needing to refresh the page.
- Email: the same event is also emailed to you, in case you're not logged into AdmCloud at that moment.
- History (this screen): every notification sent to you is kept here for later reference, even after you've dismissed the pop-up or read the email — the last 100 are shown.
How to use it, step by step
- Open Notifications either from the bell icon in the top navigation bar or from its own screen.
- At the top you'll see two buttons: Turn on notifications and emails and Turn off notifications and emails. Only one is active at a time, matching your current preference; click the one that's enabled to switch to the other state.
- Read the info message under the buttons — it explains exactly what turning notifications off means: no more pop-ups and no more emails for other users' actions, although your history stays available.
- Scroll down to Last Notifications to see the table with your most recent alerts: when it happened, which company, who generated it, their email and the message.
- If a notification's message is shown as a link, click it to jump straight to the related document (for example, the transaction that was assigned to you).
Main capabilities
- Turn real-time pop-up alerts and the related emails on or off for your own user, with a single click, from the bell icon or from this screen.
- Get notified the moment a document pending authorization is assigned to you, both on screen and by email.
- Get notified as soon as another company publishes a document to you via AdmCloud Xchange (before anyone receives it), if you're flagged as a contact for it on the record that company keeps for yours.
- Keep a personal history of your last 100 notifications, with date, source company, who triggered it, their email and the message.
- Jump directly to the related document from a notification, when it links to one.
- You're never notified about your own actions — only about things other users do that affect you.
Key fields
| Field | What it is for |
|---|---|
| Date | Date and time the notification was generated, shown in your local time zone and date format. |
| Company | The company the notification came from, useful if you have access to more than one. |
| Generated By | The name of the user whose action triggered the notification (for example, whoever assigned the document to you). |
| The email address of the user who triggered the notification. | |
| Message | The text of the notification. When it relates to a specific document, it's shown as a link that takes you straight to it. |
Availability and conditions
- The Notifications screen and the bell icon only appear when your company's plan includes this capability. No evidence was found of it being available outside the Enterprise plan.
- It also depends on the "Notifications" feature being enabled for your company; if you don't see the bell icon or this screen, that feature isn't turned on for your account — contact AdmCloud support to confirm whether it can be enabled.
- The on/off preference is per user: each person in your company decides independently whether they want to receive pop-ups and emails.
- You are excluded from notifications triggered by your own actions.
Tips and common mistakes
If you're going to be away and don't want pop-ups interrupting you, turn notifications off from here — you'll still be able to open this screen later and catch up on everything you missed in the history.
Don't see the bell icon or this screen at all? That means your company doesn't have the Notifications feature enabled — it depends on the Enterprise plan and on a feature that must be turned on for your account. Contact AdmCloud support to check your eligibility.
Not getting emails anymore? Check that you haven't turned off notifications on this screen — turning them off stops both the pop-ups and the emails at the same time; you can't keep one and disable the other.
