Item Attribute Options

Attribute options are the specific values of an attribute (for example Red, Blue and Green for the "Color" attribute). This screen is an independent catalog of every option across all of your attributes, letting you browse, create and edit them directly without first opening the card of the attribute they belong to.

Module: Advanced Inventory (Enterprise edition) Requires the "Items and Services" permission of your user group

What is it and what is it for?

Every attribute option belongs to a single attribute (for example, the option "Red" belongs to the "Color" attribute) and represents one of the values you will later choose when building item variants. This screen lets you see, at a glance, every option your company has —regardless of which attribute it belongs to— and add or fix a single option by picking its attribute right on the form.

It is the same catalog managed from an attribute's own Details card (the "New Attribute Option" link); this screen offers a more direct route to work with options when you already know which attribute they belong to, or when you need to review or edit several options without going attribute by attribute.

Screens in this area

Screen What it does
List Shows every attribute option, sorted by name, with its Code, Description and the Attribute it belongs to (with a link to its card). If you have the permission, it also lets you edit or delete options by checking each row.
Create / Edit A form to register or fix an option: choose the Attribute it belongs to, and enter its Code, Description and Inactive flag.
Details The read-only card of the option, with a direct link to the attribute it belongs to.

How to create an attribute option step by step

  1. Open the list and click New. You need the "add" level of the Items and Services permission, and your company must have the Advanced Inventory module enabled.
  2. Choose the attribute the option belongs to (for example "Color"). The attribute must already exist; if you haven't created it yet, do so first from the Attributes screen.
  3. Enter the option's description (for example "Red"). This is the text you will see when building combinations/variants on an item's card.
  4. Enter a code if you need one. It is optional; use it when you want a short identifier for integrations, reports, or to scan by code instead of by description.
  5. Save the option. It becomes immediately available to assign on items that use that attribute.

Key fields

Field What it is for
AttributeThe attribute this option belongs to (for example "Color"). It is required and should not be changed later without considering where the option is already in use.
CodeAn optional short identifier for the option, unique among options of the same attribute when supplied. Useful for integrations, reports or barcode scanning.
DescriptionThe option's name as it will appear when building variants (for example "Red"). It is required.
InactiveHides the option from new combinations without deleting the variants or documents that already use it.

Validations when saving

  • Description required and within the maximum allowed length.
  • Attribute required. Every option must belong to an existing attribute.
  • Description unique within the same attribute. You cannot create two options with the same name for the same attribute, but the same name is allowed on different attributes (for example, "Large" can exist both on "Size" and on another attribute).
  • Code unique within the same attribute, only when you enter a code; leaving it blank skips the duplicate check.

Availability, permissions and conditions

  • This feature requires the Advanced Inventory module, available as an add-on module of the Enterprise edition. If your company does not have it enabled, the screen shows a "not available for your edition" notice.
  • Access is controlled with the "Items and Services" permission of the user group, with separate levels for browsing, adding, editing and deleting.
  • Attribute options are shared across all of the company's subsidiaries; they are not filtered by subsidiary.

Tips and common mistakes

⚠️

You will not be able to delete an option already used on a document or item. The system blocks the deletion if the option appears on invoice, quote, order or quote-request proposal lines, on CRM opportunities, on bills of materials (BOM), on kits, or if any item has it assigned. Instead, mark the option as Inactive to stop offering it on new combinations.

💡

Use this screen when you already know the attribute. If you are registering several options in a row for the same attribute, opening the attribute's Details card may be faster; if you are fixing individual options across different attributes, this catalog view is more direct.

ℹ️

Create the attribute first, then its options. If the attribute you need does not exist yet, create it from the Attributes screen before registering its options here.
