Expense Categories

Expense Categories is a ledger catalog that groups your expense types (for example "Travel Allowance", "Fuel", "Office Supplies" or "Vehicle Maintenance") and links each one to a single expense ledger account. It lets you classify your document and journal entry lines consistently, without relying on every user picking the right ledger account by hand every time.

Module: Accounting (GL) Requires the "Expense Categories" permission

What is it and what is it for?

Each record in this catalog has a Description, optional internal notes and a required, exclusive expense Account: the same account cannot be assigned to two different expense categories. When you pick a category on a document or journal entry line, AdmCloud immediately knows which chart-of-accounts account that expense should post to, without the user having to look it up and select it themselves.

It's a simple, standalone catalog — it doesn't depend on any other screen to exist. Its value shows up when you use it while entering expense lines on documents and reports (for example, Expense Reports or other documents with expense ledger lines), since it speeds up data entry and keeps similar expenses from being posted to different accounts by human error.

Screens in this area

Screen What it does
List All the registered categories, sorted by description. From here you open each one to view or edit it, or create a new one.
Create / Edit A simple form with the category's description, internal notes and its associated expense ledger account.
Details A read-only view of the category's data with shortcuts to edit or delete it if you have the corresponding permission.

How to create a category step by step

  1. Open the list and click New. You need the "add" level of the Expense Categories permission.
  2. Enter the description. It's required, for example "Travel Allowance" or "Fuel". It must be different from any other category already registered.
  3. Pick the expense ledger Account. It's required: the account that will be used to post everything recorded under this category. The same account cannot be reused on two different categories; if the account you're looking for is already assigned to another category, AdmCloud will tell you when you try to save.
  4. Add notes (optional) if you want to clarify for your team what kind of expense should be recorded under this category.
  5. Save. The category is immediately available for selection on expense lines of your documents and journal entries.

Where it's used

  • In the expense category field on item lines and ledger lines of documents that capture expenses, such as Expense Reports.
  • As a reference to automatically determine the expense ledger account that line should post to, instead of having to pick it manually every time.

Key fields

Field What it's for
DescriptionThe category's name (for example, "Travel Allowance" or "Fuel"). It's required and cannot repeat with another category already registered.
NotesFree text to clarify the internal use of this category, visible only within this screen.
AccountThe expense ledger account that everything recorded under this category posts to. It's required and exclusive to this category: no other expense category can use the same account.

Validations when saving

  • Description is required.
  • Description must be unique: it cannot repeat with another category already registered.
  • Ledger account is required.
  • Ledger account must be exclusive: it cannot already be assigned to another expense category.
  • You cannot delete a category if documents or journal entries already have lines recorded under it; the system shows you the list of affected documents (document type and number) so you know what to reassign first.

Availability, plan and modules

  • This screen is part of the Accounting (GL) module, available on every AdmCloud plan; it doesn't require activating any additional Enterprise edition module.
  • Access is controlled by the "Expense Categories" permission of your user group, with separate levels to view, add, edit and delete.

Tips and common pitfalls

💡

Set up your category catalog before you start entering expenses. Think through the expense types you actually want to track separately in your accounting reports (travel, fuel, office supplies, maintenance, etc.) and create them all at once, so data entry is fast and consistent across different users.

⚠️

Can't pick the account you want? That's because it's already assigned to another expense category. Each ledger account can only be linked to one category; if you need to reorganize your catalog, first change the account on the category that currently has it assigned.

⚠️

Can't delete a category? That's because documents or journal entries already have lines recorded under it. Reassign those lines to another category before trying to delete it again.

ℹ️

Don't confuse this with the Chart of Accounts. Expense Categories doesn't replace your chart of accounts — it's an additional layer meant to speed up and standardize the entry of expense lines, always tied back to a single account in your ledger.
