Occupations

Occupations is the catalog of professions or trades (Lawyer, Architect, Accountant, Software Engineer, etc.) that you can assign on an employee's Labor Contract, to record what they do within your company. In the Dominican Republic, each occupation also holds the official code required by the Ministry of Labor for the DGT-3 labor report.

Module: Payroll Requires the "Occupations" permission

What is it and what is it for?

Each record in the catalog is simply a name (for example "Software Engineer" or "Accountant") that you later select in the Occupation field of an employee's Labor Contract. It doesn't affect payroll calculations; it's descriptive information about what the employee does, used by your company for HR statistics and, in the Dominican Republic, to correctly complete the DGT-3 labor report (New Hire filing) required by the Ministry of Labor.

You don't need to build the catalog from scratch: the first time you open the screen, AdmCloud automatically loads a set of common occupations (Lawyer, Architect, Accountant, Dentist, Software Engineer, General Practitioner, Economist and Graphic Designer), with their official code if your company is set up for the Dominican Republic. You can edit them or add the ones you're missing.

Screens in this area

Screen What it does
List All registered occupations, sorted alphabetically by name, with their code. From here you can select several and delete them together.
Create / Edit A simple form with the occupation's name, an optional internal code and the fiscal code used on the DGT-3 labor report.
Details A read-only view of the occupation's data and its change log, with shortcuts to edit or delete it if you have the matching permission.

How to create an occupation, step by step

  1. Open the list and click New. You need the "add" level of the Occupations permission.
  2. Type the name. It's the only required field, for example "Civil Engineer" or "Nurse".
  3. Enter an internal code (optional). Useful as a short reference if your company uses its own occupation coding.
  4. Enter the fiscal code (optional). In the Dominican Republic, this is the occupation code the Ministry of Labor expects on the DGT-3 report; check the official catalog if you don't have it on hand.
  5. Save. The system validates that the name doesn't repeat an already-registered occupation.
  6. Select it on the Labor Contract. When creating or editing an employee's Labor Contract, choose the matching occupation in the Occupation field.

Where it's used

  • In the Occupation field of the employee's Labor Contract, as a drop-down list of the occupations you've registered.
  • On the DGT-3 labor report (Dominican Republic), which reports each employee's occupation with the fiscal code registered here.

Main capabilities

  • Catalog preloaded with the most common occupations the first time you use the screen.
  • Create, browse and edit your own occupations, with a name, an internal code and a fiscal code.
  • Bulk deletion from the list, selecting several occupations at once.
  • Direct selection from the employee's Labor Contract.
  • Creation, edit and deletion log visible from each occupation's detail view.

Key fields

Field What it is for
NameThe occupation's description (for example, "Lawyer" or "Software Engineer"). Required, and can't repeat across occupations.
CodeA short, optional identifier for your company's internal use.
Fiscal CodeThe occupation code required by the Ministry of Labor's DGT-3 labor report in the Dominican Republic. Loaded automatically on the preloaded occupations.

Validations when saving

  • Name is required: AdmCloud won't save an occupation without a name.
  • The Name can't repeat: if an occupation with the same name already exists, AdmCloud rejects the save and tells you the record already exists.
  • An occupation in use can't be deleted: if any Labor Contract already has it assigned, AdmCloud blocks the deletion and shows you which contracts reference it. You must assign those contracts another occupation before you can delete it.

Availability, permissions and conditions

  • Access to this screen is controlled with the "Occupations" permission of the user group, with separate levels for browse, add, edit and delete.
  • This feature is part of the Payroll module, available on the Premium Plus Payroll plan, or on the Enterprise plan with the Payroll module enabled for your company. If you don't see this option in the menu, your plan or your company doesn't have Payroll enabled.

Tips and common mistakes

💡

You don't need to build the catalog from scratch. AdmCloud preloads a set of common occupations the first time you open the screen; just add or adjust the ones you're missing.

⚠️

Can't delete an occupation? It's because one or more Labor Contracts already have it assigned. Check the error message, reassign those contracts to another occupation, and try deleting it again.

ℹ️

Filing the DGT-3 report in the Dominican Republic? Make sure every occupation has the correct fiscal code from the Ministry of Labor's catalog, so the new-hire report comes out complete.
