Commission Reports
Commission Reports automatically calculate how much each sales rep earned on their sales for the period, applying the Commission Rules your company has configured. There are two report families depending on where the sale comes from — Cash Sales Commission and Credit Sales Commission — and each one can be viewed Detailed (line by line), Summarized (one total per sales rep) or Summarized by Invoice (one total per document).
What are they and what are they for?
These reports read the sales already collected in the queried period, look for the Commission Rule that best matches each one, and apply its percentage to tell you how much every sales rep earned, so you don't have to compute it by hand invoice by invoice. There are two families, based on where the collection comes from:
- Cash Sales Commission: calculates commission on Cash Invoices (sales collected at the moment of the sale). Since they're already collected when the sale happens, it doesn't distinguish by "collection speed" — only Commission Rules that don't require a Payment Days range apply.
- Credit Sales Commission: calculates commission on Credit Invoices from the moment the customer actually pays them (with a Cash Receipt or, if you choose, with a Credit Application). That's why it does take into account the days elapsed between the invoice and its collection, and shows you the collection document that paid it.
Both families depend entirely on the Commission Rules catalog: if you haven't set up any rule yet, these reports won't calculate any commission.
How the calculation works
- For every collected sale line, the report looks for the Commission Rule whose criteria (Subsidiary, Business Line, Item, Sales Rep, Customer, Brand) match that sale.
- If the rule also sets a Margin range, the line only generates commission when the sale's real margin falls inside that range; if it doesn't match, that line's commission is 0 and it doesn't show up in the report.
- In Credit Sales Commission, if the rule sets a Payment Days range, it's compared against the actual number of days it took the customer to pay the invoice (collection date minus invoice date). In Cash Sales Commission this range doesn't apply: since these sales are already collected immediately, only rules with no Payment Days restriction are considered.
- If the rule has a Minimum % and/or Maximum % of Sales Budget Accomplishment, the line is only commissioned if the sales rep fell inside that accomplishment range for the queried period (requires Sales Budget to be set up).
- Items marked "Does Not Apply for Commission Payments" (on their Item record) never generate commission, no matter what rule exists.
- Lines whose calculated commission comes out to 0 (for example, because no rule matched) are not shown in the report.
- Credit Sales Commission requires at least one matching Commission Rule to exist; if your company doesn't have even a general rule (everything blank), this report will show no rows at all, even if sales were collected during the period.
Variants: Detailed, Summarized and Summarized by Invoice
The three variants of each family show exactly the same underlying data, grouped differently. You can switch between them using the tabs at the top of the report:
- Detailed: one row per sold item line, with price, cost, margin, quantity, commission % and commission amount for that line.
- Summarized: one row per sales rep, with the total sales and total commission they generated over the whole period.
- Summarized by Invoice: one row per document (invoice or receipt, depending on the family), with the total sales and commission for that entire document.
How to use it
- Open Cash Sales Commission or Credit Sales Commission from the Sales Reports menu.
- Set the Date Range (required); if you don't enter it, AdmCloud automatically redirects you with the current month.
- If you want to narrow the result down, add the filters you need: Sales Rep, Customer, Item, Brand and, if your company uses subsidiaries, the Subsidiary.
- In Credit Sales Commission, check Exclude Credit Notes if you don't want returns to reduce commission, and Include Credit Applications if you also want invoices settled with a Credit Application (not only with Cash Receipts) to count as "collected".
- Click Refresh to generate the report with those filters.
- Use the Detailed, Summarized and Summarized by Invoice tabs to switch views without losing the filters you applied.
- From there you can export, print, reorder columns or save your own configuration, just like the rest of AdmCloud's reports.
Key fields — Cash Sales Commission
| Field | What it's used for |
|---|---|
| Number / Date | Cash Invoice that generated the sale. |
| Aging | Days elapsed from the invoice date until today. |
| Customer / Invoice Sales Rep | Customer of the sale and the sales rep assigned to that invoice. |
| Item / Description | Item sold on that line (Detailed only). |
| Quantity / Price (Local) / Discount % / Cost (Local) | Sale data for that line, already converted to your local currency (Detailed only). |
| Margin % | Sale's real gross margin (price minus cost, as a percentage); this is what the Commission Rule compares when it filters by margin. |
| Sale Amount (Local) | Sale amount used as the base to calculate commission. |
| Commission % | Percentage granted by the Commission Rule that matched this sale. |
| Commission Amount (Local) | Sale Amount (Local) × Commission % ÷ 100; what the sales rep earned on this sale, or, in Summarized/Summarized by Invoice, on the whole sales rep or document. |
Key fields — Credit Sales Commission
| Field | What it's used for |
|---|---|
| Number / Date | Collection document (Cash Receipt or Credit Application) that paid the invoice. |
| Collection Days | Days elapsed between the invoice date and the date it was collected; this is what the Commission Rule compares when it filters by Payment Days. |
| Customer | Customer the collected invoice belongs to. |
| Paid Doc. / Doc. Type / Doc. Date | The original Credit Invoice that was fully or partially settled by this collection. |
| Invoice Sales Rep | Sales rep assigned to the paid invoice (who the commission is credited to). |
| Collection Amount (Local) / Retained Amount (Local) / Paid Amount (Local) | How much was collected, how much was withheld for taxes, and the total amount of the paid document, in your local currency. |
| Paid % | Percentage of the invoice that was already collected with this document. |
| Item / Description | Item on the paid invoice (Detailed only). |
| Sale Amount (Local) | Net sale amount of that line, used as the base to calculate commission. |
| Margin % | Sale's real gross margin; this is what the Commission Rule compares when it filters by margin. |
| Commission % / Commission Amount (Local) | Percentage granted by the matching Commission Rule, and the resulting commission amount. |
Available filters
- Date Range (required on every variant).
- Sales Rep, Customer, Item and Brand, to narrow the report down to a specific one of them.
- Subsidiary, if your company has it enabled.
- Exclude Credit Notes and Include Credit Applications, only in the Credit Commission family.
- The report also carries other filters (Business Line, Sales Territory, Customer Class) that normally stay hidden and only activate when you arrive from a link on another report or screen; you don't need to fill them in for everyday use.
Availability and permissions
- This feature requires the Enterprise "Incentives" module active on your company; if it isn't active, the screens show the "not available on this edition" message.
- Requires the "Cash Receipts" permission of Sales & Accounts Receivable on your user group.
- The Subsidiary filter only shows up if your company has subsidiaries enabled.
- Both reports depend on having Commission Rules configured; without them there's nothing to calculate.
Tips and common mistakes
"The Credit Commission report comes back empty even though sales were collected". Check that at least one Commission Rule applies to that sale (even a blank general rule): unlike the Cash report, the Credit report shows no rows at all if no rule matches.
An item doesn't generate commission even though a rule covers it. Check that the item doesn't have "Does Not Apply for Commission Payments" checked on its record; that flag always excludes it, no matter which rules are configured.
If you need to know how much each sales rep earned in total, use the Summarized variant; if you need to review invoice by invoice without going into item-level detail, use Summarized by Invoice; and if you need to audit the calculation line by line, use Detailed.
These reports don't change or record anything: they're read-only. Commission isn't calculated or shown on the invoice itself; it only shows up here, when you run the report.
