Training Classes
Training Classes is the catalog you use to classify your Trainings (for example "Technical", "Safety" or "Leadership"). Every training you record can be linked to one of these classes, which later lets you filter the trainings list and its reports by category, instead of reviewing every record one by one.
What is it and what is it for?
When you record a Training, you can indicate which Training Class it belongs to by picking one from this catalog. This catalog is what your company maintains to define which training categories exist, so every training ends up classified consistently.
It's an intentionally simple catalog: it only has a Name (required and unique) and a free-form Note. Its value shows up later, when you filter the Trainings list or its Summary and Detailed reports by class, to understand where your company is investing in training (for example, how much Technical training was given versus Safety training).
How to use it
- Open the Training Classes list and click Add.
- Enter the class's Name (for example "Technical", "Safety" or "Leadership"). It's required and must be unique among the other classes already created.
- Add a Note if you need to clarify anything about that class (optional).
- Click Save.
- From the list, each class links directly to its detail screen; from there you can Edit it with the header's edit button.
- When recording a new Training, pick the class you already created in the form's Training Class field.
Key fields
| Field | What it's used for |
|---|---|
| Name | Descriptive name of the training class (up to 200 characters). Required and unique among the other Training Classes. |
| Note | Free-form comment about the class, for your company's internal use. Optional. |
Validations when saving
- The Name is required; it cannot be saved blank.
- The Name must be unique: you can't create two Training Classes with the same name.
- You cannot delete a Training Class that is already used by at least one recorded Training; the error message shows the number of each training using it. You must first change the class on those trainings or leave the Training Class unused.
Availability and permissions
- This screen requires the Enterprise Human Resources (HHRR) module active on your company, the same one required by the Trainings feature. Without this module, the Training Classes screen isn't available.
- Requires the Payroll "Trainings" permission on your user group (with add, edit or delete level, depending on the action); it's the same permission that controls access to the Trainings feature.
- In practice, this catalog is only useful if your company uses the Trainings feature, since its only purpose is to classify them.
Tips and common mistakes
Define your Training Classes before you start recording trainings. That way you avoid creating duplicate or inconsistent classes on the fly, and from your very first record you can classify each training correctly.
Keep the list short and well defined. A short catalog (for example Technical, Safety, Leadership, Onboarding) is easier to maintain and to use later when filtering reports than one with many very similar categories.
Can't delete a class? AdmCloud blocks it if the class is already used on a recorded Training; the error message shows the number of each training using it, so you can decide whether to reclassify them or keep the class.
