Bill of Materials (BOM) Classes

Bill of Materials Classes are a simple catalog for grouping your Bills of Materials (BOM) by product type or family (for example, "Beverages", "Wood Furniture" or "Spare Parts"). Each class can also carry up to three reference ledger accounts, to keep a record of which accounts are typically used when manufacturing with the Bills of Materials in that group.

Module: Manufacturing (Enterprise edition) Managed with the same "Bills of Materials" permission of the user group

What is it and what is it for?

Each Class is a simple record with a Name, free-form Notes and, optionally, three reference ledger accounts. It has no tabs or detail lines: it's a supporting catalog, similar to General Ledger Account Classes but applied to your production recipes.

Once created, the class becomes available in the Class field on every Bill of Materials header, and is used to:

  • Filter the Bills of Materials list by class.
  • Filter and group Manufacturing charts/dashboards by BOM class, alongside work centers, fixed assets or operators.
  • Organize your production recipes by product family, so they're easier to find.

How to use it

  1. Open the Bill of Materials Classes list and click New.
  2. Enter the class's Name (required, can't repeat) and, if you want, add free-form Notes to describe it better.
  3. If your company wants to document the typical ledger accounts for this group of recipes, enter the Raw Material Dispatches Account, the Finished Products Constructions Account and, if applicable, the Rejected Products in Production Account. All three fields are optional.
  4. Click Save.
ℹ️

These three accounts are for reference only within the class; AdmCloud does not automatically copy them onto the Bills of Materials assigned to it. Every Bill of Materials has its own Raw Material Dispatches, Constructions and Rejected Products accounts, set when that bill is created or edited.

Main capabilities

  • A simple list, sorted alphabetically by name, with direct access to View and, if you have permission, Edit each class.
  • Selection of the class from the Class field on the Bill of Materials header.
  • Filtering by class on the Bills of Materials list and on the Manufacturing module's charts/dashboards.

Key fields

Field What it is for
NameIdentifies the class. Required and can't repeat between classes. Maximum 200 characters.
NotesOptional free-form text describing the class's grouping criteria.
Raw Material Dispatches AccountReference ledger account for raw material leaving stock on recipes in this class. Optional.
Finished Products Constructions AccountReference ledger account for the finished product entering stock on recipes in this class. Optional.
Rejected Products in Production AccountReference ledger account for quantities rejected during production. Optional; it's meaningful if your plan includes tracking rejected products, the same condition that applies to the equivalent field on the Bill of Materials itself.

Validations when saving

  • Name is required.
  • Name can't repeat between existing classes, both when creating and editing.
  • Name can't exceed 200 characters.

Deleting

A class can't be deleted while any Bill of Materials still has it assigned. In that case, AdmCloud shows you the name of every Bill of Materials using it, so you can assign those bills a different class (or none) before trying to delete it again.

Availability, plans and conditions

  • This feature requires the Manufacturing module active in your company (available as an add-on module of the Enterprise edition). Without this module, the screen shows a "not available on this edition" message.
  • Access is controlled with the same "Bills of Materials" permission of the user group used for Bills of Materials (BOM), with separate levels for browsing, adding, editing and deleting.
  • The Rejected Products in Production Account field is relevant only if your plan includes tracking rejected finished product quantities in production.

Tips and common mistakes

💡

Create your classes first (for example, by product line) before entering your Bills of Materials, so you can pick them right away from the BOM header without interrupting data entry.

⚠️

"This class already exist" shows up when the name you typed matches an existing class; check the list before creating a new one with a similar name.

ℹ️

If you need to delete a class and AdmCloud tells you it's in use, check which Bills of Materials are listed in the message and change their class from their own record before trying to delete it again.
