Item & Service List and Price Calculation

This area brings together two tools that support your Items and Services catalog: a combined list that shows items and services together in a single table, and a mass price calculation tool to update the prices of many items at once instead of editing them one by one.

Module: Inventory Requires the "Items and Services" permission of your user group

What is it and what is it for?

The Items and Services list shows your entire catalog in a single table: inventory items, services and kits, each tagged with its type. It is useful when you need to browse or search the whole catalog without splitting it by type, create a new item or service from the same place, or delete several records at once.

This screen complements the detailed Items catalog: here you see the combined list and create or delete records, but the full card (prices, locations, vendors, traceability, etc.) is managed on the dedicated Items and Services screens.

The Mass Price Calculation tool, on the other hand, is meant for when you need to raise or lower prices on many items at once — for example, a general increase for inflation or a sales-price update based on purchase cost — without having to edit each item by hand.

Screens in this area

Screen What it does
Item & Service list A combined table with image, SKU (linked to the card), name, type (Item, Service or Kit) and whether it is inactive. You can customize which columns are shown and save your setup, just like on other lists in the system. From here you create a New Item or a New Service (each button takes you to the matching creation screen) and, with the right permission, select several rows with their checkbox and delete them in bulk.
Mass Price Calculation A form to recalculate inventory item prices in bulk: choose what the calculation is based on (an existing price list or the last purchase cost), which destination price level and currency the result is written to, and whether to increase by percentage or by factor. You can narrow the calculation to a business line, a single item, a family or a brand, or leave it empty to affect every item.

How to use the combined list

  1. Open the Items and Services screen. You will see the combined table with your whole catalog (items, services and kits).
  2. Customize the columns if you need to. Use the column-customization selector to choose which ones to show and in what order, and save your setup to reuse it later.
  3. Create a new record. Click New Item or New Service depending on what you want to register; each button takes you to the creation screen for that card.
  4. Delete several records at once if you need to. Check the box on each row you want to remove (or the header checkbox to select them all) and click Delete. The system asks for confirmation before deleting.

How to use the Mass Price Calculation

  1. Choose the calculation type. Based on Origin Price List takes the prices already registered on an origin price level and currency. Based on Last Purchase Cost starts from the item's last registered purchase cost, without using an origin price list.
  2. Optionally narrow down which items are affected. Enter a business line, a specific item, a family or a brand. Leaving these fields empty applies the calculation to every item.
  3. Enter the origin price level and currency (only if you chose the price-list-based calculation). You can use the same level and currency as the destination if you only want to update those prices, or a different one if you want to generate new prices from the origin ones.
  4. Enter the destination price level and currency, where the calculated prices are written. This step is required for both calculation types.
  5. Enter the percentage to increase or the factor. With the percentage, a positive number raises the price and a negative one lowers it (for example, 10 raises it 10%, -5 lowers it 5%). With the factor, the origin price is multiplied directly by that number (for example, 1.5). Fill in only one of the two.
  6. Check "Round Prices" if you want the result rounded according to your company's decimal settings.
  7. Click "Execute Mass Update" and confirm. The system takes you to the Processes screen, where you can follow the progress and result, since the calculation runs in the background.

Key fields of the Mass Price Calculation

Field What it is for
Calculation typeDefines whether the origin price is taken from an existing price list or from the item's last purchase cost.
Business line / Item / Family / BrandOptional filters to narrow which items get their price recalculated. Left empty, the calculation applies to the whole item catalog.
Origin Price Level / Origin CurrencyWhere the base price is taken from. Only applies to the price-list-based calculation.
Destination Price Level / Destination CurrencyWhere the calculated price is written. Always required.
Percentage to increaseThe percentage added to (positive) or subtracted from (negative) the origin price. Mutually exclusive with the factor.
FactorThe number the origin price is multiplied by to get the destination price. Mutually exclusive with the percentage.
Round PricesRounds the calculated price according to the decimals configured for your company.

Validations when running the calculation

  • Destination price level and currency are always required.
  • Origin price level and currency are required when the calculation is "based on origin price list".
  • You must enter a percentage or a factor, but not both and not neither. If you leave both at zero, or fill in both at once, the system rejects the run.
  • The business line, item, family or brand you entered must exist in your catalog; if any of them no longer exists, the system does not run the calculation.
  • To delete rows from the combined list, you must select at least one row; the system warns you if you try to delete without checking any.

Availability, permissions and conditions

  • Access to both screens is controlled with the "Items and Services" permission of your user group: the browse level lets you view the list and run the price calculation, and the add and delete levels enable the create and delete buttons on the list.
  • The New Item button only appears if your company has the Inventory module enabled on its plan; the New Service button is always available with the matching permission.
  • The Mass Price Calculation runs as a background process (not immediately); its progress and result are checked on the Processes screen.
  • An item or service with usage history (on documents, bills of materials, kits, projects or other records) cannot be deleted; the system blocks the deletion to protect your information.

Tips and common mistakes

⚠️

Run the mass price calculation outside of peak hours. Recalculating prices for many items can slow the system down while many users are working; it is best run when system usage is low.

💡

Use the filters before running it. If you only want to update a specific business line, family or brand, enter it in the filters; otherwise the calculation affects your entire item catalog.

💡

Test with a single item first. If you are not sure of the result of a percentage or factor, run the calculation with a single item in the filter before applying it to the whole catalog.

ℹ️

Looking to manage an item's full card? This screen only lists, creates and deletes; each item's prices, locations, vendors and traceability are edited from its own card, in the Items guide.
