Credit Card Operators

Connect AdmCloud to a credit card payment processor (currently AZUL, in the Dominican Republic) so your customers can pay their invoices online, either from a link in the invoice email or from the Customer Portal. When the bank confirms the payment, AdmCloud automatically generates the matching cash receipt, without you having to enter it yourself.

Module: System Administration Requires the "Credit Card Operators" permission Requires the Credit Card Payments module active

What is it and what is it for?

This area configures, per company or per subsidiary, which card payment processor AdmCloud uses to collect your invoices online. Once configured and saved, you can turn on two ways for your customer to pay without you having to step in:

  • Payment link in the invoice email: the customer receives the invoice by email with a link to pay right from there.
  • Payment from the Customer Portal: the customer pays their open invoices when they log into their Portal.

When the operator approves the payment, AdmCloud automatically creates the cash receipt applied to the matching invoices and sends the customer a confirmation email. If the payment is declined, the customer sees the reason, and their invoices are left unchanged; they can try to pay again.

ℹ️

For now, the only supported operator is AZUL (Dominican Republic). This area is designed so other operators can be added for other countries in the future without changing how you use it.

Screens in this area

Screen What it does
Credit Card Operator Configuration The main screen: choose the operator, the currency it accepts, the cash/bank account and payment method used when generating the cash receipt, and whether payment by email link and/or Customer Portal is enabled.
Operator Data (AZUL) Loads below the previous screen as soon as you select "AZUL": the MerchantID, the SecretKey, the merchant type and, optionally, the payment policies your customer will see before paying.
Policies Page A public page (no login required) that shows the payment policies you configured; it's the page a customer lands on from the "Policies" link in the payment flow.

How to configure your operator step by step

  1. Open "Credit Card Operators" from System Administration. If your company has subsidiaries enabled, you need a subsidiary selected in your session; otherwise the screen will ask you for one.
  2. Pick the operator in the Operator Type field. Pick "None" at any time to turn off card payments.
  3. Fill in the operator's data. For AZUL: the MerchantID, the SecretKey and the Merchant Type AZUL gave you when you signed up, and, if you want, the Policies text shown to your customers.
  4. Fill in the common fields: the currency the operator accepts, the cash or bank account where the collected money will be recorded, and the payment method used to create the cash receipt.
  5. Turn on the payment channels you want: check "Send Payment Link Invoice" and/or "Allow Payments In Customer Portal" depending on how you want your customers to pay.
  6. Save. AdmCloud validates the data, encrypts the SecretKey before storing it, and the operator becomes active right away.
⚠️

For security, the SecretKey is never shown again once saved: the field always comes back empty when you reopen the screen. You must retype it in full every time you save, even if you're only changing another field (for example, the cash account or a checkbox); if you leave it blank, saving fails with the message "The SecretKey is required".

Key fields

Field What it's for
Operator TypeWhich processor you'll use. The available options depend on your company's country; "None" turns the feature off.
CurrencyThe currency the operator accepts payments in, per your merchant agreement with the bank.
Cash/Bank AccountThe cash or bank account where the money collected by card is recorded inside AdmCloud.
Payment MethodThe payment method used to automatically create the cash receipt once a charge is approved.
Send Payment Link InvoiceTurns on including an online payment link in your invoice emails.
Allow Payments In Customer PortalTurns on card payment from the Customer Portal.
MerchantID (AZUL)Your merchant identifier, provided by AZUL when you signed up.
SecretKey (AZUL)Your merchant's secret key, provided by AZUL. It's stored encrypted and never shown again.
Merchant Type (AZUL)The merchant type AZUL assigned to your account.
Policies (AZUL)Optional formatted (HTML) text with your payment policies, shown to the customer before paying and on the public Policies page.

How your customer pays

Once the operator is configured, the customer can pay in two ways, depending on what you turned on:

  • From the payment link included in the invoice email.
  • From the payment button in the Customer Portal, if the customer has access.

In both cases, the customer is redirected to the operator's secure page (AZUL) to enter their card details; AdmCloud never sees or stores the card number. When they're done, the operator redirects back to AdmCloud with the result:

  • Payment approved: AdmCloud creates the cash receipt applied to the open invoices and sends the customer a confirmation email.
  • Payment declined: the customer sees the reason, and their invoices stay exactly as they were; they can try to pay again.

Validations when saving

  • If the operator isn't "None", the currency, the cash/bank account and the payment method are required.
  • For AZUL, the MerchantID, the SecretKey and the Merchant Type are required.
  • If the selected cash/bank account has a currency assigned, it must match the operator's currency.
  • This feature can't be turned on while your company is using an evaluation (Trial) account.
  • It can't be turned on if your company still has an older card-payment integration enabled (Cardnet tokenization or classic card payments); you must turn that one off first by contacting your Account Executive.

Availability

  • Requires your company to have the Credit Card Payments module turned on; if you don't see it available, contact your AdmCloud Account Executive to activate it, regardless of your current plan.
  • Requires the "Credit Card Operators" permission of System Administration in your user group.
  • Not available while your company is on an evaluation (Trial) account.
  • Can't be used together with the older card-payment integrations (Cardnet tokenization or classic card payments); they're mutually exclusive.
  • If your company has subsidiaries enabled, each subsidiary configures its own operator, and you need a subsidiary selected to open this screen.
  • For now, only the AZUL operator is available, for companies in the Dominican Republic.

Tips and common errors

💡

Write your payment Policies before turning on online payments. Whatever you write there is what your customer sees before paying; keep it clear to avoid disputes or confusion about refunds and terms.

⚠️

Seeing "You can't use another Credit Card Operator"? That means your company still has an older card-payment integration turned on (Cardnet or the classic card payments). Contact your Account Executive to migrate to Credit Card Operators.

ℹ️

Does saving fail with "The SecretKey is required" even though you didn't touch that field? That's because the field always travels empty for security; just retype the full SecretKey before saving.
