Lost Opportunity Reasons

Lost Reasons is a catalog where you define why an Opportunity or a Lead was lost (for example: "Price", "Chose a competitor", "No budget", "Not responding"). It's used to explain a negative close on a deal, so over time you can analyze the most frequent reasons your company isn't closing sales.

Module: CRM Requires the "Opportunities" permission

What is it and what is it for?

It's a simple catalog: each record has a required, unique Name and optional Notes where you can expand on what that reason means. Once created, these reasons show up as a selection list in the Lost Reason field on CRM Opportunities and Leads.

Instead of typing a different free-text comment every time you lose a deal, you pick an already standardized reason. This lets you later review how many opportunities are lost to each cause and spot patterns (for example, whether most losses come down to price or to a lack of follow-up), so you can act on your sales process.

How to use it

  1. Open the catalog. Go to the Lost Reasons list, where you'll see every reason you've created, sorted by name.
  2. Create a new reason. Use the add button, type a short, clear name for the loss cause, and optionally add notes with more detail or examples of when to use it.
  3. Save. AdmCloud checks that the name isn't empty and that no other reason already uses that same name.
  4. Select it when you lose a deal. From that point on, the new reason is available in the Lost Reason field on the Opportunity and Lead form.
  5. Review or edit an existing record. Click its name in the list to open its detail, and use the edit button if you need to correct the name or the notes.

Key fields and validations when saving

Field Description
NameShort description of the loss reason. It's required and must be unique: two reasons cannot share the same name.
NotesOptional free text to expand on the meaning of the reason, for example with examples of when it applies.
⚠️

You can't delete a reason that's already in use. If you try to delete a Lost Reason that's assigned to any Opportunity or Lead, AdmCloud rejects the deletion and shows you the list of opportunities using it, so you can reassign them to a different reason first if you still want to delete it.

Where this information appears

  • On the Opportunity form, in the Lost Reason field.
  • On the Lead form, in the same field.
  • When reviewing the detail of an Opportunity or Lead already closed as lost, with a direct link to the chosen reason's detail.

Availability and permissions

  • This feature requires the CRM module to be active for your company (the Premium Plus CRM plan, or the Enterprise plan with the CRM module active). If it isn't available, the catalog screen shows a "not available in this edition" message. If you need it, check with your administrator or your AdmCloud account representative about enabling it.
  • To view, create, edit or delete records you need the "Opportunities" permission (CRM module) at the corresponding level (View, Add, Edit or Delete). It's the same permission that controls access to Opportunities and Leads.

Tips and common pitfalls

💡

Keep the list short and actionable. A handful of well-defined reasons ("Price", "Competitor", "No budget", "Not responding") is more useful than many similar variants: it keeps your loss-cause analysis easy to read and easy to turn into improvements to your sales process.

ℹ️

"This reason already exists." This message appears if you try to create or rename a reason with a name another catalog record already uses; pick a different name.

⚠️

You can't delete it while it's in use. Before deleting a reason, check the error message: it tells you which Opportunities or Leads have it assigned, so you can give them a different reason first.
