Sales Invoices List

The Sales Invoices List brings your Credit Invoices, Cash Invoices and Promotion Invoices together in a single table, no matter which of the three screens created them. Instead of checking each invoice type separately, you get one place to search, filter, review and manage everything you've already billed.

Module: Sales & Accounts Receivable (AR) Requires the "Credit Invoices" or "Cash Invoices" permission of your user group

What it is and what it's for

Every row in this list is an already-saved invoice: credit, cash, or promotion (merchandise or a service handed over free of charge). The system identifies which type each one is and lets you open, print or delete it from the same place, without you having to remember which screen originally created it.

It gives you one unified view of everything you've billed your customers over a period, lets you audit your fiscal document numbering, quickly locate an invoice by its number, reference or customer, and perform maintenance (delete, batch print) on several invoices of different types at once.

How to use it

  1. Open the list from the Sales menu. The table loads your most recent invoices first (by date, then by number, descending), already filtered by your session's subsidiary, location and sales rep.
  2. Use the search box to find an invoice by its number, fiscal document number (NCF), reference, customer name, or customer tax ID, or open the filter panel to narrow the results by date, customer, item, customer class, sales rep, or subsidiary/location.
  3. Click a row's document number to open that invoice in detail view; the system automatically takes you to the right screen depending on whether it's a credit, cash or promotion invoice.
  4. Click New to create a Credit Invoice or a Cash Invoice (each opens in a new tab); promotion invoices are created from their own screen and only show up here once saved.
  5. Check one or more invoices with the leftmost checkbox and click Delete to remove them in bulk, or use the Reports menu to jump straight to the credit or cash invoice reports.
  6. Choose which columns you see with the column customization selector, and use the Refresh button to reload the table without leaving the screen.

Key capabilities

  • A unified view of three document types (credit, cash, promotion) in a single table, sorted by date and number, descending.
  • Combinable search and filters by customer, item, sales rep, subsidiary/location, number, reference and fiscal document.
  • Bulk deletion of invoices of different types selected at once, respecting the permission and rules of each document type.
  • Direct access to the credit and cash invoice reports from the same list.
  • Customizable visible columns, saved for your next visits.
  • Batch printing (Enterprise / Partner-type users) reachable from this same screen when available.

Deletion rules

  • On delete, the system identifies the real type of each selected invoice (credit, cash or promotion) and applies that document's own validations before removing it.
  • You need the delete permission for "Credit Invoices" or "Cash Invoices", depending on the type of invoice you're trying to remove.
  • A voided invoice shows no edit link in the list; a "Void" label appears instead. Voided invoices still show up in the list — they aren't hidden.
  • If your company has Consignment Sales Orders enabled, deletion also honors those extra rules.

Availability and permissions

  • Viewing the list requires the "Credit Invoices" or "Cash Invoices" permission (View level) of your user group; deleting requires the matching level of each one.
  • The Subsidiary column and filter only appear if your company has subsidiaries enabled.
  • The Project column only appears if your company has the Projects module active.
  • The Fiscal document (NCF) column and filter only appear in countries that use fiscal documents.
  • Batch printing is available on the Enterprise plan and for Partner-type users.
  • The list always respects your session's subsidiary, location and sales rep: you only see invoices from the organization you have access to.

Tips and common mistakes

💡

Can't find a promotion invoice to edit from the "New" button? Promotion invoices are created from their own screen; this list only shows them once saved, alongside credit and cash invoices.

⚠️

A voided invoice can't be edited again. If you need to correct it, create a credit note or a new invoice from the original document type's screen instead.

ℹ️

In the Dominican Republic, if you don't have an active fiscal sequence with numbers left, the list shows a warning with a direct link to Fiscal Sequences so you can set one up before billing further.
