Performance Evaluations

Performance Evaluations let you measure, skill by skill, how well an employee is performing in their position, combining the employee's own self-assessment with their supervisor's evaluation. Each evaluation is based on the skills you've defined for the employee's Position, with the expected score for each one, so you can compare at a glance what was expected, what the employee says about themselves and what their evaluator decided.

Module: Human Resources (Human Capital) Requires the "Performance Evaluations" permission (or its "Performance Evaluations - My Subordinates" variant)

What is it and what is it for?

Every company defines, in the Positions catalog, which skills are expected for each position and what the minimum score should be. A Performance Evaluation takes those skills for a specific employee and records, for each one: the position's expected score, the employee's self-assessment and their evaluator's score (usually their supervisor), along with notes and a corrective action plan when it applies.

The full process happens in three moments:

  1. Creating the evaluation — one employee at a time by hand, or in bulk with Lot Generation.
  2. Employee self-assessment — the employee records their own score from the Employee Portal, outside of AdmWeb.
  3. Evaluator review — the assigned evaluator completes or corrects the score for each skill and its action plan from AdmWeb.
ℹ️

The Employee Portal (staffportal.admcloud.net) is where employees record their own self-assessment; it's not part of the screens documented here, but that step of the process happens there.

How to use it

  1. Open Performance Evaluations. You'll see the list of every evaluation, with filters by date, subsidiary, department, position and employee, and customizable columns.
  2. Click New to create an individual evaluation. Enter the Subsidiary, the Date, the Employee being evaluated, their Position (auto-suggested once you pick the employee) and the Evaluator.
  3. Click Load Position Skills to automatically bring in every skill defined for the selected Position, with its expected score and evaluation criteria.
  4. For each skill, fill in the Evaluator Score, an Action Plan where it applies, and any extra notes. You can add or remove skill rows by hand if needed.
  5. Attach supporting files if applicable and click Save. The system takes you to the Details screen of the evaluation you just created.
  6. From Details you can Edit, Duplicate (to create a new evaluation with the same base data), Delete or Void the evaluation, depending on your permissions.
  7. On Details, each skill shows, side by side, the position's expected score, the employee's self-assessment (once they've recorded it from the Portal) and the evaluator's score. If the employee needs to self-assess again, use Clear Employee Evaluation next to that skill.

Lot Generation

Instead of creating every evaluation by hand, you can generate them for many employees at once from Lot Generation:

  1. Optionally choose a Location and/or a Department (both automatically include their sub-locations or sub-departments in the hierarchy) to narrow down which employees get an evaluation.
  2. Click Create Evaluations and confirm. AdmCloud creates, dated today, one evaluation per active employee matching the filter, using their current Position (with that Position's skills) and their Supervisor as the Evaluator.
  3. When it finishes, you'll see how many evaluations were created and, if any employee couldn't be processed, the details of the first errors found.
⚠️

An employee is skipped from the batch if they have no Position assigned on their record, or if an evaluation already exists for them on that same date (to avoid duplicating it).

ℹ️

Lot Generation is an enableable feature: if you don't see the button on the list screen, your company doesn't have it turned on yet. An admin user can check the Beta Feature Activation screen under System Administration, or you can contact AdmCloud support to request it.

Key fields

Field What it's for
EmployeeThe person being evaluated. Required; can't be a voided record.
PositionThe employee's position at the time of the evaluation; determines which skills can be auto-loaded. Required.
EvaluatorWho scores the employee (usually their supervisor). Required on individual creation; can't be the same person as the employee being evaluated.
DateThe evaluation's date. On Lot Generation, every evaluation created uses the date the batch is run.
SkillThe competency being evaluated, taken from the Skills catalog linked to the Position.

Validations

  • Employee, Position and Evaluator are required when creating an individual evaluation (on Lot Generation, the Evaluator is taken automatically from the employee's supervisor).
  • An employee can't be their own evaluator.
  • The Employee, Position and Evaluator must be current records (they can't be voided).
  • Each skill's score can't be negative.
  • Once the evaluation is created, the Subsidiary can't be changed.
  • The Employee Score (self-assessment) can't be overwritten from the edit screen; it can only be cleared from Details with the "Clear Employee Evaluation" button, so the employee can record it again.
  • An evaluation can't be deleted if it has other dependent records (for example, linked activities); the system will let you know.

Availability

  • Only available on the Enterprise plan, with the Human Capital (Human Resources) module enabled for your company. If your company doesn't have it enabled, this screen won't show up in the menu.
  • Access is controlled by the "Performance Evaluations" permission, with separate levels for browsing, adding, editing, deleting and voiding.
  • There's a permission variant, "Performance Evaluations - My Subordinates": a user who only has this variant (and isn't an admin) will only see their own evaluations and those of the people who report directly to them.
  • Lot Generation additionally requires that feature to be enabled for your company; otherwise the button doesn't show up and the action is rejected even if attempted another way.
  • The Subsidiary column on the list only shows up if your company has multiple subsidiaries enabled.

Tips and common errors

💡

Set up your Position skills well before evaluating. The more complete each Position's catalog of skills and expected scores is, the faster it is to create evaluations (with "Load Position Skills") and the more useful the comparison on Details becomes.

⚠️

An employee is missing from Lot Generation. Check whether they have a Position assigned on their record, or whether an evaluation already exists for them on the same date; the process skips those employees on purpose.

ℹ️

The employee's self-assessment doesn't change even if you edit the evaluation from AdmWeb. If the employee made a mistake or needs to self-assess again, use the "Clear Employee Evaluation" button on Details instead of trying to edit that score directly.
