Work Calendars
A Work Calendar defines which days of the week are worked and, optionally, what time each of those days starts and ends. It serves two different purposes: in Payroll, it's linked to labor contracts to calculate how many days an employee worked in a period; in Manufacturing, it's assigned to a Work Center to define its operating schedule.
What is it and what is it for?
Each Work Calendar has a name and a list of days of the week marked as working days. For each marked day you can optionally set a start time and an end time. You can also link it to a Shift (for example "Day" or "Night") to identify which general schedule it belongs to.
In Payroll, the calendar is assigned to a labor contract or a payroll transaction; the system counts how many of the marked working days fall within the period you're calculating, and uses that number as the employee's worked days.
In Manufacturing, if your company has Work Centers active, a Work Calendar is assigned to each Center to indicate on which days (and, if it applies, at which hours) that center is available to produce.
Screens in this area
| Screen | What it does |
|---|---|
| List | A table with all Work Calendars ordered by name, showing their Name (as a link to the details); Notes is available as an optional column. You can customize which columns to show and in what order. From here you create new calendars, edit existing ones and delete the ones you select. |
| Create / Edit | A form with the Name, Notes, the optional Shift and a Days tab where you check each day of the week that is worked and, if it applies, its start and end time. |
| Details | The same card in read-only mode, with buttons to Add, Edit or Delete depending on your permissions, the Days tab showing the schedule already configured, and a Log tab with the record's change history. |
How to create a work calendar step by step
- Open the Work Calendars list and click New. You need the "add" level of the Work Calendars permission; if you don't see the button, ask your administrator for access.
- Enter the calendar's name. It's the only required field (up to 200 characters) and it must be different from any other calendar already registered.
- Add notes, if you need to. A free, optional field for internal clarifications about the calendar.
- Assign a Shift, if your company uses them. It's optional and only serves to classify the calendar on Labor Reports (Dominican Republic); it doesn't affect the worked-days calculation.
- Go to the "Days" tab and check each day of the week that is worked. For each checked day you can optionally enter a start and end time if you also want to control the schedule; both are optional.
- Save. The calendar becomes immediately available to assign to labor contracts or Work Centers.
Key fields
| Field | What it is for |
|---|---|
| Name | Identifies the calendar on the list and when assigning it to contracts or Work Centers. It is required and unique (maximum 200 characters). |
| Notes | Free, optional text for internal clarifications. Not shown on the list by default, but you can display it from the column customization. |
| Shift | An optional link to a record in the Shifts catalog, used only to classify the calendar on Dominican Republic Labor Reports (DGT-3, DGT-4). |
| Days (tab) | Marks which of the seven days of the week are working days for this calendar. An unchecked day never counts as worked in any calculation. |
| Start time / End time | Optional, captured for each day marked as a working day. If your company only needs to know which days are worked (without controlling the schedule), you can leave them blank. |
| Log | A read-only audit trail: who created or modified the calendar and when. Only visible on the Details screen. |
Validations when saving
- Name required and within the maximum length (200 characters).
- Unique name: it cannot repeat another calendar already registered.
- The days list must be present when saving (even if you don't check any day), or the system rejects the save.
Availability, permissions and conditions
- Access is controlled with the "Work Calendars" permission of the user group, with separate levels for browsing, adding, editing and deleting.
- The screen only shows up on the menu if your company meets either of these two conditions:
- It has the Payroll capability active: the Premium Plus Payroll plan, or Enterprise with the Payroll module active.
- Or it has Work Centers active (Enterprise Advanced Manufacturing module) and the "Production Lines" feature enabled in Preferences / Feature Toggles.
- A calendar in use by a Payroll transaction or by a Work Center cannot be deleted: the system blocks the deletion and tells you which transactions or centers reference it. Update or remove those references first.
Tips and common mistakes
You won't be able to delete a calendar linked to Payroll transactions or a Work Center. The error message tells you every record that uses it; update those references to use a different calendar before trying the deletion again.
Start and end times are optional. If your company only needs to know how many days an employee worked in the period (without controlling the exact schedule), you can check only the days of the week and leave the times blank.
The Shift is just a label. Linking a Shift to the calendar doesn't change the worked-days calculation; it's only used to identify the general schedule on Dominican Republic Labor Reports. The actual schedule that gets calculated comes from the days and times you check on the "Days" tab.
