Sales Route
The Sales Route is a map report that geographically plots your customers' Sales Orders, Quotes, Invoices, Cash Receipts, Notes and Returns, along with Opportunities and visits logged as an Activity, whenever the mobile device captured their location at the moment they were created. It lets you see, at a glance, where each sales rep was and what they recorded at each stop, instead of piecing that route together by hand across several lists.
What is it and what is it for?
Many companies have sales reps who visit customers on the road, whether to sell, collect payment or simply follow up. The Sales Route pulls together, on a map, every point with coordinates captured by the AdmCloud mobile app when a document or a visit was recorded, so you can:
- Confirm a sales rep was really where they say they sold, collected or visited.
- Spot a visit or a sale recorded from a location that doesn't match the customer (whether by mistake or misuse).
- Visualize your sales team's geographic coverage over a date range.
- Review, in a single table, without opening each document one by one, the detail of every point: type, number, date, customer, sales rep and amount.
This is a read-only report: it doesn't let you edit or void documents from here; you need to open the original document for that.
How to use it
- Go to Reports > Sales > Sales Route.
- Set the filters: date range, Customer, Location and/or Sales Rep, depending on what you want to review. All of them are optional; with no filters, AdmCloud brings back the most recent geolocated documents.
- Click Refresh to reload the table and the map with the chosen filters.
- The map centers on the first result and marks every document or activity with a point. Click a point to see, in a popup, the document type, its number, the customer, the sales rep and the amount.
- In the table on the left, click a document number, an Opportunity or an Activity to go straight to its detail; click the customer or sales rep name to open their record.
What documents it includes
Only records with captured location coordinates are shown; everything else is left out of both the map and the table.
| Type | What it represents |
|---|---|
| Sales Orders | An order committed with the customer at the point it was taken. |
| Quotes | A price proposal offered to the customer on site. |
| Credit and Cash Invoices | A sale invoiced directly during the visit. |
| Cash Receipts | A payment collected from the customer at the visit location. |
| Customer Credit and Debit Notes | An adjustment to the customer's balance recorded on site. |
| Cash Returns | A cash refund handed to the customer during the visit. |
| Customer Return Authorizations | A merchandise return authorized at the visit location. |
| Opportunities | An ongoing deal with the customer, located where it was created or worked on. |
| Visit Activities | A logged visit that didn't necessarily generate a sale, useful for following up on customers or prospects. |
Available filters
| Filter | What it's for |
|---|---|
| Date range | Bounds the period of the documents and visits shown. |
| Customer | Shows only the points related to a specific customer. |
| Location | Filters by the location (and its sub-locations) that recorded the document. |
| Sales Rep | Filters by the sales rep assigned to the document, the opportunity or the activity. |
Key capabilities
- Interactive map (Google Maps) with a point for every geolocated document, opportunity or visit.
- Popup on clicking a point, showing document type, number, customer, sales rep and amount.
- Table with direct links to the corresponding document, Opportunity or Activity, and to the customer and sales rep involved.
- Combines sales transactions, deal management (Opportunities) and follow-up (Visit Activities) in a single view.
Availability and permissions
- The Sales Route requires the Enterprise plan (Maps feature); on other plans the screen shows a message that the feature isn't available on your edition.
- Viewing it requires the "Sales Orders" permission (Browse level) on your user group.
- The report respects your session's Subsidiary and Location, and if your user has a sales rep assigned (or a team of reps you oversee), you'll only see documents for those reps.
- If the result exceeds 1,000 documents, AdmCloud only shows the first 1,000 and warns you at the top of the report; narrow the filters (for example, a shorter date range) to reduce the search.
Tips and common mistakes
I don't see any points on the map. Only documents and activities created while capturing location (for example, from the mobile app with GPS on) show up here. Documents created from a desktop browser, with no location, are not shown.
A point shows up far from the customer. This can mean the document was recorded away from the actual visit site (for example, from the office or from another location); click the point to review the document and confirm it with the sales rep.
This report is read-only. If you need to fix an amount, a customer or void a document, do it from its original screen; the Sales Route will reflect the change the next time you refresh.
