Countries
Browse the worldwide catalog of countries that AdmCloud ships ready to use, and fill in the reference fiscal codes that some tax reports and electronic-invoicing integrations need for each country.
What is this screen?
From the moment your company is created, AdmCloud includes the full list of countries in the world, each with its name and its three-letter identifier (for example DOM for the Dominican Republic or USA for the United States). It is a global catalog: it is the same for every company and it cannot be expanded or trimmed from this screen — there is no button to add a new country or delete an existing one.
What you can do is browse any country in the catalog and fill in supplementary information about it: a reference code of your own, its fiscal code and alternative fiscal code, and internal notes.
What is it for?
- It is the source of the "Country" field across the system. When you pick the country on a contact, a customer, a vendor, an employee, an address or a location, the list you see is this same catalog.
- It feeds tax reports and electronic invoicing. In some countries (for example Guatemala, Ecuador and the Dominican Republic), tax reports and electronic-invoicing formats need the country's official code (such as its ISO code) for your customers, vendors or foreign locations. That code is taken from the Fiscal Code field (or the Alternative Fiscal Code when the format requires a different one) you register here.
- It centralizes the information once. Once you fill in a country's fiscal code on this screen, it becomes available automatically to every contact, location and transaction that uses that country, without repeating it on each record.
How to use this screen
- Open the Countries list. You will see a searchable, paginated table with every country's Name and Fiscal Code.
- Browse a country. Click its name to open its record in read-only mode, with all its fields.
- Edit the supplementary data. From the list or from the record, use the Edit option to fill in or correct the country's Code, Fiscal Code, Alternative Fiscal Code or Notes. The Name is shown but cannot be changed.
- Save your changes. The save button only updates that country; it does not affect the rest of the catalog.
Key fields
| Field | What it is for |
|---|---|
| Name | The country's name as it appears throughout the system. It is fixed and cannot be edited, because other modules already store references to that country by its identifier. |
| Code | An extra reference code you can use for your own purposes or for certain integrations (for example, some bank file formats look it up). |
| Fiscal Code | The country's official code (for example, in ISO format) required by certain tax reports and electronic-invoicing gateways. Fill it in when your company deals with contacts or locations in that country and your electronic invoicing setup requires it. |
| Alternative Fiscal Code | A second official code for the country, used by reports or formats that need a different coding than the main Fiscal Code. |
| Notes | A free-text field to record any internal clarification about the country (for example, where the fiscal code you entered came from). |
Validations when saving
- The country's Name cannot be changed. If you try, the save is rejected; the name is display-only.
- New countries cannot be created. You can only edit the supplementary data of countries that already exist in the worldwide catalog.
- Countries cannot be deleted. Since it is a catalog shared by the whole system (used by contacts, addresses, employees and more), this screen does not offer a way to remove them.
Availability and permissions
This screen belongs to the System Administration module. Any logged-in user can browse the list; viewing a country's detail and editing its supplementary data both require the System Configuration permission (view and edit, respectively) on the user group. If you cannot see the Edit option, or you get a permissions message when trying to save, ask your administrator to review your user group's privileges.
Tips and common pitfalls
Fill it in before invoicing abroad. If you are about to issue an electronic document to a customer, or record an expense with a vendor, from another country, check first that country's Fiscal Code is registered; some electronic-invoicing gateways reject the document if the country doesn't have one.
Can't find a country in the list? This is a fixed catalog of every recognized country; if you believe one is missing, contact AdmCloud support instead of looking for an option to add it, since this screen does not offer one.
Code and the fiscal codes are independent of each other. Not every country needs all three codes filled in; only complete the ones your company actually uses, based on the report or integration that applies to your country.
