Enable Features

Enable Features (menu Configuration → Features) is the central screen where you switch optional and advanced AdmCloud behaviors on or off for your entire company: profit centers, sales installments, budget control, inventory serials/lots/attributes, payroll concept authorization, and more. It's a single per-company configuration record, organized in tabs, saved once, that immediately affects every related screen.

Module: System Administration Requires the "Configuration" permission (Edit level)

What is it and what is it for?

Many AdmCloud capabilities aren't simply "included or not" in your plan: they must first be switched on here, at the company level. This gives your account administrator control over which extra behaviors to use, without forcing every user to deal with options they don't need.

It's important to tell apart two different availability layers:

  • Purchasing an Enterprise module (Advanced Inventory, Advanced Sales, Budgeting, Payroll, Advanced Manufacturing, Transportation Management/TMS): this is managed by AdmCloud based on your plan, and only then does the matching tab or switch appear on this screen.
  • Turning the feature on here: once a switch is visible, you decide whether to enable it for your company. Turning a feature back off later may be blocked if you're already using it (see Validations when saving).

A few features (flagged below) don't depend on a purchased module but on a special activation AdmCloud enables for your account (beta or limited-availability features).

How to turn on a feature step by step

  1. Open Configuration → Features. You need the "edit" level of the "Configuration" permission to save changes; without it you can view the screen but not modify it.
  2. Pick the tab for the area you want to adjust: General, Accounting, Inventory, Budget, Sales, Payroll, TMS or Manufacturing. You'll only see the tabs for the Enterprise modules your company has active.
  3. Turn the switch for the desired feature on or off. Check the Feature catalog section below to understand what each one does before changing it.
  4. Click Save. The button is available both above and below the form. If you try to turn off something already in use, AdmCloud shows a message explaining why it can't be disabled and which record is using it.
  5. The change applies immediately in your current session and for every user in the company: there's no need to log out or restart anything.

Feature catalog by tab

Tab Feature What it turns on Availability
General Comments on Transaction Items Lets you add free-text comments on each item line inside transactions. All plans.
Accounting Fiscal Documents Turns on fiscal receipt handling on your sales documents, following your country's scheme. All plans.
Accounting Divisions / Locations / Departments / Item Classes as Profit Center Lets you use that dimension to measure profitability separately in your financial reports. Item Classes: from the Standard plan. The other three: from the Premium plan. On the Enterprise plan, all four require the Enterprise Accounting module active.
Accounting Divisions on Credit / Cash Invoices, Customer Credit / Debit Notes, Promotion Invoices and Cash Returns Lets you also pick a Division inside these sales transactions, not just elsewhere in accounting. Limited-availability feature: only shown if AdmCloud has enabled "Divisions on Sales Transactions" for your account.
Sales Expense Billing Lets you carry expenses already recorded on Expenses, Vendor Bills, Vendor Credit/Debit Notes or Receptions into a sales invoice, to bill them back to the customer. Requires the Enterprise Accounting module.
Sales Multiple sales reps in sales Lets you assign more than one sales rep to the same Quote, Sales Order, Return Authorization or Project, splitting the commission between them. Limited-availability feature on the Enterprise plan, enabled by AdmCloud for your account.
Sales Quote Authorizations Requires Quotes to go through an authorization workflow before they can turn into a Sales Order or Invoice. Requires the Enterprise Accounting module or the Enterprise Billing plan.
Sales Installments in Quotes and Sales Orders / Installments in Credit Invoices Lets you split the transaction's balance into several installments, each with its own due date, instead of handling a single total balance. Requires the Enterprise Advanced Sales module (or the Construction module).
Sales Installments Automatic Generation In Sales Transactions Generates the installments automatically when the document is saved, instead of entering them by hand. Requires the Enterprise Advanced Sales module, and at least one of the two Installments features above already enabled.
Sales Customers Discount by Item Class Lets you define, per customer, a different discount percentage depending on the item class (business line) being sold. Limited-availability feature on the Enterprise plan, enabled by AdmCloud for your account.
Budget Budget Control Turns on validating your purchase transactions against what's defined in Budgets. Requires the Enterprise Budgeting module.
Payroll Require Authorization in Concept Registrations Requires a Concept Registration (income or deductions outside an employee's regular payroll run) to go through authorization before it's applied. Requires the Enterprise Payroll module.
TMS Prices by Destination Makes item prices vary by delivery destination, taken from the customer's shipping address. The whole tab requires the Enterprise Transportation Management (TMS) module.
Manufacturing BOM Status Turns on the status field (for example, in design, active, discontinued) on your Bills of Materials (BOM). The whole tab requires the Enterprise Advanced Manufacturing module.
Security Log (no switches) Shows the history of who changed each feature and when: read-only. All plans.

The advanced inventory features (Bins, Lots, Customs Declarations, Attributes and Serial Numbers) are turned on and documented in detail on their own catalog screens (for example, Inventory Bins, Item Customs Declarations); all of them require the Enterprise Advanced Inventory module and only show up here once that module is active for your company.

Validations when saving

AdmCloud blocks disabling (or, in one case, enabling) a feature if you already have data that depends on it:

  • Lots, Customs Declarations, Bins, Attributes or Serial Numbers: cannot be disabled while at least one active item is marked to require them.
  • Expense Billing: cannot be disabled if an invoice already billed expenses.
  • Installments in Quotes and Sales Orders and Installments in Credit Invoices: cannot be disabled if documents of that type already have installments recorded.
  • Installments Automatic Generation: cannot be enabled unless at least one of the two Installments features above is already active.
  • Customers Discount by Item Class: cannot be disabled if any customer already has a discount configured under this concept.
  • Multiple sales reps in sales: cannot be disabled if sales transactions or projects with more than one sales rep already exist.

In every case, the error message points to the specific document, item or customer blocking the change, so you can review it first.

Availability, plan and modules

  • Access to this screen is controlled by the "Configuration" permission of the user group; the Edit level is needed to save changes.
  • The TMS and Manufacturing tabs only show up if your company has, respectively, the Enterprise Transportation Management module and the Enterprise Advanced Manufacturing module active.
  • Within the visible tabs, each feature shows or hides based on whether its matching Enterprise module is active (Accounting, Advanced Inventory, Advanced Sales, Budgeting, Payroll) or on whether AdmCloud has enabled a limited-availability feature for your account.

Tips and common pitfalls

💡

Don't guess what a switch does. Before turning on a feature you don't recognize, check the Feature catalog on this page or the documentation for the related screen (for example, Inventory Bins or Budgets) to understand its effect on the rest of the system.

ℹ️

Missing a tab or switch you expected? The matching Enterprise module is probably not purchased or active for your company. Contact AdmCloud to confirm which modules are available on your plan.

⚠️

Can't disable a feature? The error message points to the document, item or customer using it. Resolve or void that record first; AdmCloud won't let you disable a feature while data still depends on it.
