Registered Transactions Summary
The Registered Transactions Summary counts, month by month, how many documents were registered in your company over a year — invoices, receipts, journal entries, payments, and any other transactional document — grouped by document type. It's a volume and activity indicator, not a financial report: it doesn't show amounts or each document's content, only how many were created.
What is it and what is it for?
Every time a document is registered in AdmCloud (an invoice, a payment, a journal entry, an order...), an entry tied to its document type is created. This report adds up those entries by type and by month for a year you choose, so you can see at a glance how active your company is and which document types get used the most, without counting record by record on each screen.
It's useful, for example, to spot spikes or drops in activity for a specific month, compare usage across different document types, or, if you need to audit someone's work, review how many documents a specific employee originally registered.
How to use it
- Open Registered Transactions Summary from the System Administration Reports menu.
- The screen automatically picks the current Year if you don't set one; you can change it to any year you want to review.
- If you need to narrow the count down to one person, choose an Employee: the report will only show the documents that person originally registered.
- Click Refresh to load (or reload) the table with the filters you chose.
- Read the table: one row per document type, with the quantity registered each month and the year's total; the last row shows the grand total across all types, month by month.
- If you need a paper copy, use your browser's print option: the report adds your company name and the date to the printed version.
Key fields
| Field | What it's used for |
|---|---|
| Document Type | Name of the document type counted on that row (Credit Invoice, Cash Receipt, Journal Entry, etc.). |
| Jan – Dec columns | How many documents of that type were registered in each month of the queried year. |
| Total (row) | Total documents of that type registered over the whole year. |
| Bottom Total row | Sum across all document types, month by month and overall, for the company's general volume. |
Available filters
- Year (required): automatically filled with the current year if you don't set one.
- Employee (optional): narrows the count down to the documents that person originally registered, based on the creation audit trail — not who edited them afterwards.
Availability and permissions
- Requires the "Configuration" permission of System Administration on your user group (at least browse-level access).
- If your company has subsidiaries enabled, the count is automatically limited to the subsidiary active on your session.
- This is a read-only report: it doesn't create, modify or delete any document; you can open it as many times as you need.
Tips and common mistakes
"I filtered by an employee and the report came back empty or lower than expected". The Employee filter looks for who originally registered each document (their first entry in the audit trail), not who edited it afterwards. If someone else created the document and this employee only modified it later, it won't be counted under their name.
The totals don't match what you expected. Remember the report counts documents, not dollar amounts, and if your company uses subsidiaries, only documents from the subsidiary active on your session are counted.
Use it to quickly spot months with unusually high or low activity for a specific document type, before digging into individual records on each screen.
