Employee Classes
Employee Classes is a free-form catalog that lets you group your staff by whatever criteria makes sense for your company: for example "Administrative", "Operational", "Management", "Field Sales" or "Consultant". AdmCloud doesn't ship with a fixed list out of the box, so you decide how many classes to create and what to call them.
What is it and what is it for?
Each record in this catalog is simply a name and, optionally, internal notes. Once created, you pick it in the Employee Class field on each employee's record, to place them in the class they belong to. It doesn't affect payroll calculations or any business validation — it's descriptive information your company uses to organize, filter and report on its staff the way it already organizes them internally.
It's a simple, standalone catalog — it doesn't depend on any other screen to exist — but it really pays off when used alongside the Employee record, since it's the field that later lets you filter the employee list, group several Payroll and HR reports, and segment the Service Requests boards by the assigned consultant's class.
Screens in this area
| Screen | What it does |
|---|---|
| List | All the registered classes, sorted by name. From here you open each one to view or edit it, or create a new one. |
| Create / Edit | A simple form with the class's name and internal notes. |
| Details | A read-only view of the class's data with shortcuts to edit or delete it if you have the corresponding permission. |
How to create a class step by step
- Open the list and click New. You need the "add" level of the Employee Classes permission.
- Enter the name. It's the only required field, for example "Administrative" or "Management". It must be different from any other class already registered.
- Add notes (optional) if you want to clarify for your team which kind of position or profile should use this class.
- Save. The class is immediately available in the "Employee Class" field on any employee's record.
Where it's used
- In the Employee Class field on each Employee's record.
- As a filter on the Employee list, to see only the staff in a specific class.
- As a filter and group-by in Payroll and HR reports, such as the Employee Report, the Vacations Summary and the Time Off reports (detailed and summary).
- As a filter on the Service Requests boards (by consultant, by transaction type or by assigned owner), to work only with staff from a given class.
Key fields
| Field | What it's for |
|---|---|
| Name | The class's description (for example, "Administrative" or "Field Sales"). It's the only required field and cannot repeat with another class already registered. |
| Notes | Free text to clarify the internal use of this class, visible only within this screen. |
Validations when saving
- Name is required.
- Name must be unique: it cannot repeat with another class already registered.
- You cannot delete a class if any employees already have it assigned on their record; the system shows you the list of affected employees so you know who to reassign first.
Availability, plan and permissions
- The Employee Classes screen is available on every plan for anyone with the corresponding permission.
- However, the Employee Class field on the employee's record — where you actually assign the class to each person — only appears from the Standard plan onward (Standard, Premium, Premium Plus and Enterprise). On the Billing, Start and Basic plans you won't see that field, so the catalog wouldn't have a practical use.
- Access is controlled by the "Employee Classes" permission of your user group, with separate levels to view, add, edit and delete.
Tips and common pitfalls
Set up your catalog before you start adding employees. Think through the classes that actually differentiate your staff (by area, by position type or by seniority) and create them all at once, so assigning them is fast and consistent across different users.
Can't delete a class? That's because one or more employees already have it assigned on their record. Change those employees' class before trying to delete it again.
Don't confuse this with the employee's Department. Employee Class is a free, extra grouping; if your company already uses Departments or Positions to organize its staff, use this class only for the extra criteria those catalogs don't cover (for example, distinguishing field staff from office staff).
