User Preferences

Preferences is the screen where each user sets their own default values within AdmCloud: language, time zone, subsidiary, location, cash/bank account and user group that get suggested automatically when creating a transaction, plus their security options. It's personal: what a user sets here doesn't affect any other user in the company.

Module: System Administration Available to any logged-in user, no special permission required

What is it and what is it for?

Every AdmCloud user has their own Preferences record, separate from the company's general configuration. Here you set the fields AdmCloud will automatically suggest when you register a new transaction (for example, your usual subsidiary or cash account), so you don't have to pick them every time. It's also where you control your working language, your time zone and, if your user group requires it, your two-factor authentication (MFA) settings.

The screen is organized into two tabs: Default Fields (always visible) and Security (only visible if your user group has MFA enabled).

How to use it

  1. Open Preferences from your user menu, at the top of AdmCloud.
  2. Fill in the "Default Fields" tab. Set your Language, your Time Zone and, optionally, your Subsidiary, Location, Cash Account and Default User Group. If your company has chat translation enabled, you'll also see the Chat Translation Language field.
  3. Check the "Security" tab (if you see it). There you can click Reset MFA Settings if you lost access to your authenticator app or need to re-link it.
  4. Save with the Save button. Your default fields, your language and your time zone apply right away, with no need to log out.

Key fields

Field What it's for
LanguageThe language you see AdmCloud's whole interface in. Required.
Chat Translation LanguageThe language internal chat messages are automatically translated to. Only shown if your company has the Chat Translation feature enabled; choosing "(do not translate)" shows messages in their original language.
Time ZoneThe time zone used to show you dates and times. If left blank, AdmCloud applies a default time zone.
SubsidiaryThe subsidiary suggested by default on your new transactions. Only has an effect if your company has subsidiaries enabled.
LocationThe location or warehouse suggested by default on your new documents; if the document is an accounting one, it's also used as the entry's profit center.
Cash AccountThe cash or bank account suggested by default on your collection or payment transactions.
Default User GroupThe user group suggested by default on screens where you need to pick one (for example, when assigning an activity).
Show announcements of new featuresWhen AdmCloud releases a feature, the first time you open the screen where it lives you see a notice explaining it (only once, even if you use another company or browser). If the feature has a page in this manual, the notice includes a View in the manual link that opens it in a new tab. If you clicked Don't show me any more announcements on one of those notices, check this box to see them again.

Validations when saving

  • Language is required: you can't save the screen without selecting one.
  • Time Zone must be a valid system time zone; if left blank, AdmCloud applies the default time zone.

Availability and permissions

  • This screen is available to any logged-in user; it doesn't require a specific security permission, since each user only manages their own information.
  • The Security tab only appears if the user group you belong to has two-factor authentication (MFA) enabled.
  • The Chat Translation Language field only appears if your company has the Chat Translation feature enabled.
  • The Show announcements of new features field only appears while new feature announcements are turned on in AdmCloud.

Tips and common pitfalls

💡

Set your usual Subsidiary, Location and Cash Account here so AdmCloud suggests them automatically when you create your most frequent transactions, saving you clicks every day.

⚠️

Resetting your MFA settings logs you out immediately, and the next time you log in you'll have to link your authenticator app from scratch. Only use it if you lost access to your device or previous authenticator app.

ℹ️

Don't confuse this screen with Company Configuration. Preferences is individual, per user; the values you set here don't change anything for the rest of your company's users.
