Item Brands
A Brand identifies the manufacturer or commercial brand of your products (for example, Samsung, Nike or a house brand). You assign it to your Items and Item Models so you can filter and group them in reports, calculate sales commissions by brand and, if you have a web store, show its logo in the public catalog.
What is it and what is it for?
The Item Brands catalog is a simple list of names (Sony, Adidas, house brand, etc.) that you later select on each Item or Item Model, in its Brand field. Once assigned, AdmCloud uses it in several places without any extra work on your part:
- You can filter and group your items by brand on inventory and stock availability reports.
- You can define a different commission percentage by the sold item's brand on the Commission Rules screen.
- If your company has a Web Store active, you can link the brand to that store and upload an image (logo) for it, shown next to that brand's items in the public catalog.
- If you turn on the matching preference, the item's brand shows up as a column on your purchasing documents (Purchase Orders, Purchase Requests, Receptions, Vendor Bills and Vendor Notes).
The Brands screen itself only manages that catalog (create, browse, edit, delete); assigning the brand to each product is done from the Item's or Item Model's own record.
How to use it
- Open the Item Brands list and click New Brand.
- Type the brand's Name (required and must be unique).
- If your company has a Web Store active, select the Web Store this brand belongs to and upload its Image (logo); it will show in the public catalog next to that brand's items.
- Add optional Notes if you need to document anything extra.
- Click Save. The brand is immediately available to select on Items, Item Models and Commission Rules.
- To review it, click its name from the list (opens read-only); to change it, use Edit.
Main capabilities
- Autocomplete by name when selecting the brand from Items, Item Models and Commission Rules.
- Image and Web Store link for the brand, shown in your eCommerce public catalog, when the Web Store feature is active.
- Basis for calculating sales commissions that differ by brand from the Commission Rules screen.
- Optional Brand column on purchasing documents, turned on with the company preference "Show Brands in Purchases Transactions".
- Filtering and grouping by brand on inventory and stock availability reports.
- Also available through the REST API (browse, create, edit and delete) for external integrations.
Key fields
| Field | What it is for |
|---|---|
| Name | Identifies the brand. Required, must be unique, and has a maximum of 200 characters. |
| Web Store | The web store the brand belongs to. Only shown if your company has the Web Store (eCommerce) feature active. |
| Web Store Image | The brand's logo, shown in the public catalog. Only shown together with the Web Store field. |
| Notes | Optional free text to document extra details about the brand. |
Validations when saving
- Name is required and has a maximum of 200 characters.
- Name cannot be duplicated: if a brand with that same name already exists, AdmCloud rejects the record.
Deleting a brand
You can only delete a Brand if no Item, Item Model or Commission Rule has it assigned. If it's already in use, AdmCloud rejects the deletion and tells you which items, models or rules are using it, so you can assign them another brand or clear it first.
Availability, permissions and conditions
- The Brands catalog is included from the Basic plan onward (not available on the Billing or Start plans). On the Enterprise edition, it requires your company to have the Inventory module or the Web Store (eCommerce) module active; otherwise the screen shows a "not available on this edition" message.
- The Web Store and Web Store Image fields are only shown when your company has the Web Store feature active (a plan with eCommerce, or the eCommerce module on the Enterprise edition).
- Access to this screen is controlled with the "Item Classes" permission of the user group, with separate levels for browsing, adding, editing and deleting (this screen shares that same permission).
- To see the Brand column on your purchasing documents, turn on the company preference "Show Brands in Purchases Transactions" in Company Configuration.
Tips and common mistakes
Set up your brands before loading your item catalog, so you can assign them right away and immediately take advantage of brand-based reports and commissions.
Don't confuse Brand with Item Model: the Brand identifies the manufacturer (Samsung), while the Model usually identifies a specific line or series of that brand (Galaxy). Both are independent catalogs that come together on the Item's record.
