Login, Two-Factor Verification and Account Creation

This is the front door to AdmCloud: the screen where you enter your email and password, confirm your identity with a second factor when your company requires it, choose which company and which role you'll work with, and — if you don't have an account yet — sign up and create your first company.

Available on every plan, including Billing Public access: no prior login or permissions required

What is it and what is it for?

The Login area groups every screen you go through before reaching your workspace: authenticating, verifying your identity with a second factor, choosing a company and a role when you have access to more than one, recovering or changing your password, and — if you're new — creating a user account and your first company in AdmCloud.

AdmCloud is a multi-company platform: a single email can have access to several companies and, within each one, to several roles (for example, Administrator at one branch and Salesperson at another). That's why signing in has, beyond the email and password, a couple of extra selection steps when they apply.

ℹ️

If your user only has one company and one role, AdmCloud takes you straight to your workspace without showing the selection screens.

How to log in step by step

  1. Enter your email and password on the main screen and click Log in.
  2. Solve the CAPTCHA if your company has it turned on; it's an automatic check that almost never needs any action from you.
  3. If your role requires two-factor verification, enter the code from your authenticator app or request one by email (see the next section).
  4. If you have access to more than one company, pick it on the Select Company screen.
  5. If you have more than one role inside that company, choose which one to work with on the Select Role screen. AdmCloud remembers your last-used role per company and suggests it first.
  6. You land in your workspace, with the permissions and information of the role you picked.

Portal bar

Above the sign-in form there is a bar with three buttons that take you to the portal you belong to. The highlighted button is the site you are already on:

Button Who it is for
Product nameThe main system: internal company users (administration, accounting, sales, and so on).
Staff PortalEmployee portal, to review your payroll information, request time off or complete a self-assessment.
Vendors PortalPortal for external vendors, where they review their purchase orders and documents.
ℹ️

The links always point to the portals of the brand you are using, so you do not switch products by clicking them. If you type your email and password on the wrong portal the system will not let you in: use the bar to go to the right one.

Two-factor verification (MFA)

When your user role has two-factor verification turned on, AdmCloud asks for an additional code after validating your password. There are two ways to receive that code:

  1. Authenticator app (recommended). The first time, AdmCloud shows you a QR code and a secret key to link your account with an app like Google Authenticator or Microsoft Authenticator. From then on, the app generates a 6-digit code that changes every 30 seconds.
  2. Email code. If you'd rather not use an app, you can request that AdmCloud email you the code; it's valid for 5 minutes and you must request a new one if it expires.

When entering the code you can check Don't ask me again for 7 days: AdmCloud remembers your browser for a week and won't ask for the authenticator app code again on that same browser during that period.

⚠️

Administrators can be required to turn on two-factor verification. If your company has a security deadline configured and it has already passed, AdmCloud automatically turns on the requirement for Administrator roles that didn't already have it, the next time they log in. It doesn't apply to Demo companies or companies still in their trial period.

Recovering or changing your password

  1. From the login screen, click Forgot my password? and enter your registered email.
  2. AdmCloud emails you a recovery link, valid for 30 minutes.
  3. Opening it, type your new password twice (both fields must match).
  4. Save: once everything checks out, you're ready to log in with the new password.

AdmCloud will also ask you to change your password, unprompted, if 180 days have passed since you last changed it.

Creating a new user and a new company

If you don't have an AdmCloud account yet, you can sign up from Create User and then create your first company from Create Company.

  1. Create your user with your email, phone and a password that meets the security requirements. AdmCloud emails you a confirmation link; you must click it before logging in for the first time (for security reasons, you're not logged in automatically right after signing up).
  2. Log in once your user is confirmed and go to Create Company.
  3. Fill in your company's basic data: name, country, currency, industry and, if you have one, a promo code.
  4. If you want to explore the system with data, check Create the company with sample data (when the option is available). AdmCloud fills the company with a fictional aerospace equipment factory: chart of accounts, warehouses, customers, vendors, employees, items, bills of materials and a year of quotes, orders, invoices, receipts, purchases, production and payroll. Only what your selected plan includes is created, and the data finishes loading a few minutes after the company is created.
  5. Pick a plan. AdmCloud shows you a comparison of the features of each available plan (included users, modules such as Accounting, Banking, Invoicing, Accounts Receivable/Payable, Inventory, Payroll, CRM, Projects, Manufacturing, and the monthly transaction limit) so you can choose the one that fits your business.
  6. If you choose the Enterprise plan, you also pick which optional modules to turn on (for example Advanced Inventory, Advanced Projects, Manufacturing, WMS or Demand Planning); the core modules are always turned on.
  7. Create the company. AdmCloud sets up your database and redirects you to Select Company so you can start working.

Key fields

Field What it's for
Email (Login)Identifies your user; it's unique across the whole AdmCloud platform.
PasswordMust be at least 10 characters long, with uppercase, lowercase and at least one digit.
Remember meKeeps you logged in on that browser for longer.
Verification codeThe 6-digit code from your authenticator app, or the one emailed to you, depending on the method you use.
Don't ask me again for 7 daysMarks your browser as trusted so you don't repeat the app code for a week.
Phone (Create User)Contact information required when signing up a new user.
Company nameThe name you'll identify your company by inside AdmCloud; you can adjust it later under Company Configuration.
Country and CurrencyDefine the company's base country and local currency; they affect taxes, formats and available catalogs.
PlanThe chosen plan determines the modules, the user limit and the monthly transactions available to the company.
Create the company with sample dataFills the company with a year of operations of a fictional factory, based on the selected plan. It also creates the default chart of accounts, because the data posts to it. Use it for test companies, not for the company you will operate with.
Optional modules (Enterprise)Extra modules you can turn on or leave off when creating an Enterprise company.

Validations and security rules

  • Email and password are required to log in.
  • After 5 consecutive failed password attempts, your account is temporarily locked for security; you'll receive an email and will need to recover your password to log in again.
  • An account marked as blocked (by an administrator or for security reasons) can't log in until it's unblocked.
  • Your password expires after 180 days; once it does, you must change it before continuing.
  • You can't reuse your previous password when changing it.
  • The password recovery link expires 30 minutes after it's sent.
  • The email verification (MFA) code expires after 5 minutes.
  • You must confirm your email (by clicking the link sent when you created your user) before logging in for the first time.
  • Some roles can be restricted to specific hours, days of the week or an IP range they're allowed to log in from; if you don't meet that restriction, access is denied even with the correct password.
  • If your company has an overdue balance block, only Administrator users can log in to resolve it; every other role stays blocked until it's cleared.
  • If your company's trial period has already expired and the plan isn't Enterprise, you'll be asked to subscribe before continuing.
  • When creating a user or a company, AdmCloud automatically checks the IP address and country of origin for security; in some countries or from addresses with suspicious activity, creation can be blocked and you'll be asked to contact support.

Availability, plans and conditions

  • Creating a new company only shows you the plans your user type currently has enabled (Billing, Start, Basic, Standard, Premium, Premium Plus, Premium Plus Payroll or Enterprise).
  • Choosing optional modules when creating the company only shows up if you pick the Enterprise plan.
  • The Select Role screen shows roles tied to branches/subsidiaries only if your plan has subsidiaries enabled.
  • Logging in as a customer or vendor from the Portal only shows up if your contact has portal access enabled on that company.
  • The CAPTCHA on login and on user/company creation depends on an internal security setting; if it's off, those screens simply don't show it.

Tips and common pitfalls

💡

Working with several companies? Use "Remember me" and keep your authenticator app on your phone; it speeds up logging in without compromising your account's security.

⚠️

Did your account get locked after several failed attempts? Don't keep retrying the same password — use "Forgot my password?" to get a recovery link and unlock your access.

ℹ️

Not receiving the confirmation or recovery email? Check your spam folder and confirm your registered email is spelled correctly; the recovery link expires after 30 minutes, so you'll need to request a new one if it does.
