Custom List Options

Every Custom List is made up of a collection of Options (for example, the "Vehicle Type" list might have the options "Truck", "Sedan" and "Motorcycle"). This area shows and manages those Options individually: their name, their code and which list they belong to, whether you got here from the general Options list or from the Detail of their Custom List.

Module: Customization Requires the "Customization" permission on your user group

What it is and what it's for

An Option is the specific value a user can pick from a Custom List. It's the same information stored when someone fills in a Custom Field of type "List" on a card or transaction: what gets saved isn't the typed text but the ID of the chosen Option, which avoids spelling variations and lets you report consistently on that data.

This screen complements the Custom Lists area: while a list's Detail screen lets you manage its options one by one without leaving it, the Custom List Options area gives you a global list of every option across all your Custom Lists and lets you open, create or edit any option directly, without going through its list first.

Screens in this area

Screen What it does
List Shows every Option across all your Custom Lists, with each option's name and a link to the Custom List it belongs to. From here you create a new option or open an existing one's detail.
Create / Edit The form with the Custom List the option belongs to, its Name and its Code.
Details The already saved option in read-only mode, with a link to its Custom List and the button to edit it.

How to get to an Option

You can open or create an Option from several places in AdmCloud:

  • From the general Options list in this area, which brings together the options of every list.
  • From the Detail of its Custom List, by clicking any of its existing options, or by clicking New Option to create one without leaving that screen.
  • From any Custom Field of type "List" already filled in on a card or transaction: the value shown is a direct link to that Option's detail.

How to create or edit an Option, step by step

  1. Open the Options list or the Detail of the matching Custom List and click New or New Option.
  2. Pick the Custom List the option will belong to, unless you started from a list's Detail screen (in that case it's already preselected).
  3. Enter the Name of the option, for example "Truck". This is the text the user will see in the Custom Field's dropdown.
  4. Optionally add a Code as a short reference.
  5. Save. You're taken to the newly created option's Detail, or, if you added it from the list's Detail dialog, you stay on that same screen.
  6. To edit it later, open its Detail from any of the entry points above and click Edit.

Key fields

Field What it's for
Custom ListWhich list the option belongs to. It's required and set when the option is created; it can't be changed later from the edit screen.
NameIdentifies the option; it's required and must be unique within its own Custom List. It's the text the user sees when picking a value on the Custom Field.
CodeAn optional short identifier, useful as a reference for integrations, reports or data migrations.

Validations on save

  • Name required.
  • An option must always belong to a Custom List: it can't be saved without pointing to which list it belongs to.
  • Name unique within the same list: it can't repeat the name of another option on that same Custom List (you can reuse the same option name on a different list).
  • You can't delete an Option that's in use (for example, already picked as the value of a Custom Field on some card or transaction). The system blocks the deletion until you remove that reference.

Availability and permissions

  • Access is controlled by the "Customization" permission on the user group, with separate levels for view, add and edit.
  • Available on the Enterprise plan, together with the rest of Custom Lists and Custom Fields functionality.

Tips and common mistakes

💡

If you're adding several options to the same list, do it from the Custom List's Detail screen. That way you don't have to pick the list on every option, and you're ready to add the next one without leaving the screen.

⚠️

An option's Custom List can't be changed once it's created. If you assigned it to the wrong list, create the option again on the correct list and, if the wrong one isn't in use yet, delete it.

ℹ️

If you can't delete an option, check where it's used first. It's likely already picked as the value of a Custom Field on some card or transaction; remove that reference before trying to delete it again.
