Payroll Preferences

Payroll Preferences is a single, company-wide configuration screen (not a list) where you define the default concepts and rules used by other Payroll and HR screens: which Benefit and Discount concept to use when generating a Christmas payroll, a Salary 14 payroll or a Bonus payroll; whether employees can request vacation in advance and whether their available days are validated; and, if your plan includes Batch Hour Entry, the lunch subsidy concept and amount and the day limits for registering batch entries.

Module: Payroll Requires the "Configuration" System Administration permission

What is it and what is it for?

Unlike most Payroll screens, you don't create records here: there's a single preferences record per company that you edit and save directly. It exists so you don't have to manually pick, every time you generate a special payroll type or register a batch of hours, which ledger concept applies or which rules to enforce — you configure it once here and AdmCloud reuses it automatically.

ℹ️

If your company has Subsidiaries enabled, each subsidiary can have its own Christmas, Salary 14 or Bonus concept configured on its record. AdmCloud uses the subsidiary's own concept first; only if the subsidiary doesn't have one does it fall back to the concept configured here, in Payroll Preferences.

How to use it

  1. Open Payroll Preferences. AdmCloud loads the single existing configuration record (or an empty one, with default values, the first time).
  2. Pick the Christmas Payroll Concept and the Salary 14 Concept that will be used when generating those payroll types.
  3. If your company has bonus payrolls enabled, also pick the Bonus Concept.
  4. Check or uncheck Allow Advance Vacation Request and, if your plan offers it, Enforce Vacation Days Availability.
  5. Adjust Month Working Days if your company uses a value different from the standard one.
  6. If your plan includes Batch Hour Entry, go to that tab and configure the Lunch Concept, its Amount, and the Day Limits for each period.
  7. Click Save. Changes take effect immediately for the next payrolls and hour entries you generate; they don't affect documents already generated.

Key fields

Field What it's for
Christmas Payroll ConceptThe Benefit and Discount concept used to calculate the Christmas bonus when generating a payroll with the "Christmas" option.
Salary 14 ConceptThe concept used to calculate the 14th-month salary when generating a payroll with the "Salary 14" option.
Bonus ConceptThe concept used when generating a profit-sharing bonus payroll. Only visible if your company has this feature active.
Allow Advance Vacation RequestWhen on (the default), lets employees register vacation requests for the current period before it ends.
Enforce Vacation Days AvailabilityWhen on, AdmCloud won't allow a vacation request for more days than are available for the selected period. Only visible if your company has this feature active.
Month Working DaysThe number of working days per month used to prorate the salary of a newly hired employee or one whose contract is ending. If not configured, AdmCloud defaults to 23.83.
Lunch Concept (Batch Hour Entry tab)The concept AdmCloud uses to register each employee's lunch subsidy when authorizing a batch hour entry.
Lunch Subsidy Amount (Batch Hour Entry tab)The fixed lunch subsidy amount applied together with the concept above.
Period 1 / Period 2 Day Limits (Batch Hour Entry tab)How many days after each period ends (the first and second half of the month) a batch hour entry can still be registered for that period. For example, with 5 days configured, no batch entry can be registered for days 11-15 once that window has passed.

  • This screen requires the Premium Plus Payroll plan, or the Enterprise plan with the Payroll module enabled for your company.
  • The Bonus Concept field only shows up if your administrator enabled the bonus-payroll feature.
  • The Enforce Vacation Days Availability field only shows up if your administrator enabled that feature.
  • The Batch Hour Entry tab (with the lunch Concept and Amount, and the per-period Day Limits) only shows up if your company has the Enterprise plan with the Payroll module active and, additionally, the Batch Hour Entry feature enabled.
  • Requires the "Configuration" System Administration permission in your user group.

Tips and common errors

💡

About to generate your first Christmas, Salary 14 or Bonus payroll? Configure the matching concept here before generating it. If you don't, and no concept is configured on the subsidiary either, AdmCloud will try to automatically use a Benefit and Discount concept of the matching type (that isn't company-paid); if none is found, generation fails with a message saying the concept wasn't found.

⚠️

"You must configure the lunch subsidy concept/amount in the Payroll Preferences". This message shows up when authorizing a Batch Hour Entry if the Lunch Concept or its Amount aren't configured on this screen. Fill them in here and try again.

ℹ️

Can't find the Batch Hour Entry tab? That tab, along with the lunch Concept and Amount and the per-period Day Limits, only shows up if your company has the Payroll module active on the Enterprise plan and the Batch Hour Entry feature enabled.

ℹ️

Changes here aren't retroactive. Saving a new preference doesn't modify the payrolls, hour entries or vacation requests you already generated or registered; it only applies from the next process that depends on that preference onward.
