Purchase Barriers
Purchase Barriers is the catalog where you record the obstacles or objections that are slowing down an Opportunity or a Lead while the deal is still open (for example: "No access to the decision maker", "Budget frozen", "Comparing with a competitor"). It should not be confused with Lost Reasons, which record why a deal was already lost for good.
What is it and what is it for?
It's a simple catalog: each record has a required, unique Name and optional Notes where you can expand on what that barrier means. Once created, they show up as a selection list in the Purchase Barrier field on the CRM Opportunity and Lead form.
Instead of a different free-text comment every time, picking an already standardized barrier lets you later review which obstacles your sales team runs into most often (price, competition, lack of budget, no access to the decision maker...) while deals are still in progress, so you can act before they end up lost.
How is it different from Lost Reasons?
- Purchase Barrier: selected while the Opportunity or Lead is still open, to note a current obstacle. It doesn't mean the deal is lost, and it can be changed or cleared as the negotiation moves forward.
- Lost Reason: selected only when the deal is marked as lost, to explain the final cause of the negative close.
- They're two independent catalogs, and both fields can coexist — and even hold unrelated content — on the same Opportunity or Lead.
How to use it
- Open the catalog. Go to the Purchase Barriers list, where you'll see every barrier you've created, sorted by name.
- Create a new barrier. Use the add button, type a short, clear name for the obstacle (for example "Budget frozen") and, optionally, add notes with more detail or examples of when to use it.
- Save. AdmCloud checks that the name isn't empty and that no other barrier already uses that same name.
- Select it on the affected deal. From that point on, the new barrier is available in the Purchase Barrier field on the Opportunity and Lead form, with no need to mark the deal as lost.
- Review or edit an existing record. Click its name in the list to open its detail, and use the edit button if you need to correct the name or the notes.
Key fields and validations when saving
| Field | Description |
|---|---|
| Name | Short description of the purchase barrier. It's required and must be unique: two records cannot share the same name, whether creating or editing. |
| Notes | Optional free text to expand on the meaning of the barrier, for example with examples of when it applies. |
You can't delete a barrier that's already in use. If you try to delete a Purchase Barrier that's assigned to any Opportunity or Lead, AdmCloud rejects the deletion and shows you the list of deals using it, so you can reassign them to a different barrier first if you still want to delete it.
Where this information appears
- On the Opportunity form, in the Purchase Barrier field.
- On the Lead form, in the same field.
- As an available column (hidden by default) on CRM Opportunity reports, to analyze deals by obstacle.
Availability and permissions
- This feature requires the CRM module to be active for your company (the Premium Plus CRM plan, or the Enterprise plan with the CRM module active). If it isn't available, the catalog screen shows a "not available in this edition" message. If you need it, check with your administrator or your AdmCloud account representative about enabling it.
- To view, create, edit or delete records you need the "Opportunities" permission (CRM module) at the corresponding level (View, Add, Edit or Delete). It's the same permission that controls access to Opportunities and Leads.
Tips and common mistakes
Keep the list short and actionable. A handful of well-defined barriers ("Budget frozen", "No access to the decision maker", "Comparing with a competitor") is more useful than many similar variants: it lets you quickly spot where most of your open deals are getting stuck in the sales process.
"This reason already exists." This message appears if you try to create or rename a barrier with a name another catalog record already uses; pick a different name.
You can't delete it while it's in use. Before deleting a barrier, check the error message: it tells you which Opportunities or Leads have it assigned, so you can give them a different barrier first.
