Spreadsheets
Spreadsheets is an Excel-like spreadsheet editor built right into AdmCloud, where
you can build your own financial, sales or payroll analysis using formulas that are
live-connected to your company's data. You can start from a blank sheet or from
one of the pre-built templates (expenses, income statement, budget, sales, payroll...), which
arrive already filled in with formulas ready to recalculate. The finished file is saved as a real
.xlsx inside your company's File Cabinet — saving the sheet *is* your export to Excel.
What is it and what is it for?
Unlike a fixed report, here you get a real, editable spreadsheet: you can format cells, add your own columns, insert charts and, above all, write formulas that query AdmCloud's data directly (ledger account balances and movements, item sales and budgets, sales rep sales and collections, payroll salaries) without exporting anything first. When you change the year, month or code you pass to a formula, the value recalculates on its own, against your real data.
Every sheet is saved in the same File Cabinet AdmCloud uses elsewhere for attachments, logos and other documents. You can mark it as public (visible to the whole company) or keep it private, for you and your user group.
How to use it, step by step
- Go to Spreadsheets from the side menu. You'll see the list of existing sheets: yours, the public ones, and the ones your user group shares with you.
- Click the New button and choose between a blank sheet or one of the pre-built templates (see the table below). Some templates only show up if your company has the matching module or feature enabled.
- If you pick a template, AdmCloud generates the sheet instantly: it writes the headers, one row per record in your catalog (accounts, items, sales reps or employees, depending on the template), and one formula per cell pulling the real figure for the corresponding period.
- Adjust the sheet to your liking: change the formatting, add your own columns, plug in your own formulas using AdmCloud's special functions (see the formula table), or delete what you don't need.
-
Click Save As, type a file name and decide
whether the sheet will be public. AdmCloud saves it as a brand-new
.xlsxfile in the File Cabinet and takes you back to the list. - To keep editing an already-saved sheet, open it from the list, make your changes and click Save (overwrites the same file) or Save As (creates a new copy under a different name).
Available templates
Every template exists in two flavors: Monthly (12 columns, one per month of the current year, plus a total) or Period (a single column for the current month), except for the last four rows in the table, which only exist as Period.
| Template | What it generates | Condition to see it |
|---|---|---|
| Blank Sheet | An empty sheet, ready for you to build your own formulas from scratch. | Always available. |
| Expenses | One row per expense account in your chart of accounts, with its movement month by month. | Requires the Accounting module. |
| Income Statement | Revenue, costs and expenses grouped by ledger class, with subtotals per class and the period result. | Requires the Accounting module. |
| Results vs Budget | Same as the Income Statement, plus Budget, Executed and Difference columns per period. | Requires Accounting and the Budgeting module. |
| Sales by Item Amount / Quantity | One row per sellable item, grouped by business line, with the amount or quantity sold. | Always available. |
| Sales Budget by Item Amount / Quantity | Same, with Budget, Sold and Difference columns. | Requires the Sales Budget module. |
| Sales by Sales Rep | One row per sales rep with the amount sold in the current month. | Always available. |
| Collections by Sales Rep | One row per sales rep with what was collected in the current month. | Always available. |
| Labor Contracts | Active payroll contracts, with employee, subsidiary, location, department, division, customer, currency and salary. | Requires the Payroll module. |
| Payroll | One row per employee with the salary paid in the previous month's payroll run. | Requires the Payroll module. |
AdmCloud's special formulas
These same formulas are what fill in the pre-built templates, but you can also type them yourself into any cell of a blank sheet (or an already-generated template) to build your own analysis, as long as you have the browse permission for the module each piece of data belongs to.
| Formula | What it returns |
|---|---|
AccountBudget(Account, Year, Month) | That ledger account's budget for the period. |
AccountLocalBalance(Account, Year, Month) | The account's balance in local currency, as of that date. |
AccountLocalMovement(Account, Year, Month) | The account's net movement (debit/credit) for the period. |
AccountClassLocalBalance(AccountClass, Year, Month) | The combined balance of every account in that class. |
AccountClassLocalMovement(AccountClass, Year, Month) | The combined movement of every account in that class. |
ItemSalesAmount(SKU, Year, Month) | The amount sold of that item for the period. |
ItemSalesQuantity(SKU, Year, Month) | The units sold of that item (in its sales unit) for the period. |
ItemSalesBudgetAmount(SKU, Year, Month) | That item's sales budget, in amount, for the period. |
ItemSalesBudgetQuantity(SKU, Year, Month) | That item's sales budget, in units, for the period. |
SalesRepSales(SalesRepCode, Year, Month) | What that sales rep sold for the period. |
SalesRepCollections(SalesRepCode, Year, Month) | What that sales rep collected for the period. |
LaborContractSalary(EmployeeCode) | That employee's current labor contract salary. |
PayrollSalary(EmployeeCode, Year, Month) | The salary already paid to that employee in that month's payroll run. |
Key capabilities
- Full spreadsheet editor: cell formatting, native Excel formulas, charts and everything you'd expect from a spreadsheet, not just a fixed data table.
- Formulas live-connected to your ledger accounts, items, sales reps and payroll, so the value recalculates as you change the year, month or code being queried.
- 18 pre-built templates that save you the work of building the sheet from scratch, each one automatically filtered to your active Subsidiary.
- Saved as a real file: the result is saved as a genuine
.xlsxin the File Cabinet; you can reopen it and keep editing whenever you want. - Public or private: decide whether a sheet is shared with the whole company or stays visible only to you and your user group.
Key fields
| Field | What it's for |
|---|---|
| File name | The name the sheet is saved and shown under in the list. Required. |
| Public | If checked, any user in your company can view and open the sheet; if left unchecked, only you and your user group can see it. |
Validations on save
- The file name is required. A sheet can't be saved without a name.
- A private sheet always has an owner on record (the user who saved it), even though you never type it in — AdmCloud assigns it automatically so it can show up later in your personal list.
- Each formula has a per-minute evaluation limit at the user level; if a sheet has too many formula cells and they all recalculate at once, AdmCloud may pause the calculation with a notice and resume it a moment later.
Availability
- Spreadsheets is an Enterprise-plan feature, and it must also be enabled for your company; it is not available on Billing, Start, Basic, Standard, Premium, Premium Plus or Premium Plus Payroll.
- You need the Spreadsheets browse permission to see the menu link and open the screen; deleting a file also requires full File Cabinet permission.
- The Expenses and Income Statement templates require the Accounting module; Results vs Budget also requires the Budgeting module.
- The Sales Budget templates (by amount or quantity) require the Sales Budget module.
- The Labor Contracts and Payroll templates require the Payroll module.
- The Sales by Item, Sales by Sales Rep and Collections by Sales Rep templates have no extra condition once you already have access to Spreadsheets.
Tips and common mistakes
Use a template as a starting point, even if you want something different. It's faster to generate the closest matching template and then delete or adjust columns than to build the whole sheet and its formulas from a blank one.
"Save" only shows up once the sheet already exists. If you just generated a template or opened a blank sheet, use Save As the first time; once saved, you can use Save to overwrite it without being asked for the name again.
Don't confuse saving with exporting to another system. The .xlsx
file stays inside AdmCloud's File Cabinet; if you need to work on it outside the system, open
it from the list and download it from there like you would any other attached file.
