Hour Types

Hour Types is the catalog you use to classify the hours your employees work (regular, 25%/50%/100% overtime, night shift, or any other type you define), stating what percentage over the base salary is paid for each one. This catalog underlies the Hour Entry and Batch Hour Entry screens, where you pick one of these types for every hour line you capture.

Module: Payroll Requires the "Configuration" permission

What is it and what is it for?

Each Hour Type has a Name, an optional Code and a % Over Base Salary: the extra percentage (or the percentage that replaces 100%) paid for every hour of that type. When you record an employee's hours, you pick the matching Hour Type and AdmCloud uses that percentage to calculate the pay in payroll.

You can optionally link an Hour Type to an Overtime Concept (a payroll benefit/discount concept flagged as an overtime concept); this is only needed if you want that Hour Type to show up as its own line on the employee's pay stub, instead of being folded into the general calculation.

If your company has the Batch Hour Entry feature active, every Hour Type also has an "Include in Batch Hour Entries" checkbox that decides whether it shows up as a fillable column on that screen.

The first time you open the list and your company doesn't have any Hour Type yet, AdmCloud automatically seeds a few default values (for example, in the Dominican Republic: "Extra Hour 35%" and "Extra Hour 100%") so you don't have to start from scratch.

How to use it step by step

  1. Open the Hour Types list. If your company doesn't have any yet, AdmCloud automatically creates your country's default values before showing the list.
  2. Create a new Hour Type with the "New" button and set its Name (required) and, if you need it, a short Code to identify it.
  3. Set the % Over Base Salary to pay for every hour of this type (for example, 25, 50 or 100 for overtime; 0 or the appropriate value for regular hours).
  4. If you're going to use it in Batch Hour Entry and your company has that feature active, check Include in Batch Hour Entries.
  5. If you want it to show up as its own concept on the pay stub, pick an Overtime Concept (the picker only shows concepts flagged as overtime concepts).
  6. Add any Notes you need and save the record.
  7. Use it by selecting it on the lines of an Hour Entry or a Batch Hour Entry.

Key capabilities

  • Automatic default values: if the catalog is empty, AdmCloud seeds a few basic Hour Types based on your company's country the first time you open the screen.
  • Link to an Overtime Concept: associate the Hour Type with a payroll benefit/discount concept (the picker filters to overtime concepts only) so it shows up as its own line on the pay stub.
  • Availability in Batch Hour Entry: decide, per Hour Type, whether it appears as a fillable column in Batch Hour Entry (depending on that feature's availability for your company).
  • Read-only screen (Details): review an Hour Type without risk of changing it, with a direct shortcut to Edit or Delete if you have the permission.
  • Name-based search: the same catalog powers the picker used by Hour Entry and Batch Hour Entry to choose the Hour Type of each line.

Validations when saving

  • The Name is required.
  • The Name cannot be repeated: if an Hour Type with that name already exists, AdmCloud rejects the save.
  • The Code, if entered, cannot be repeated either between different Hour Types.
  • You cannot uncheck "Include in Batch Hour Entries" if that Hour Type is already used in existing Batch Hour Entries; you must resolve those transactions first.
  • You cannot delete an Hour Type already in use: on Batch Hour Entry lines, on employee lines of other transactions (for example Labor Contracts) or on benefits/discounts of already-generated payroll transactions. AdmCloud lists the documents using it.

Key fields

Field What it's for

CodeAn optional short identifier, useful for integrations or reports. Unique if entered.
% Over Base SalaryThe percentage over the base salary paid for every hour of this type.

Overtime ConceptA payroll benefit/discount concept (of overtime type) that reflects this Hour Type as its own line on the pay stub. Optional.
NotesFree-form notes about the Hour Type.

Availability

  • Requires the Premium Plus Payroll plan or the Enterprise edition with the Payroll module active for your company.
  • Creating, editing and deleting Hour Types is controlled by the general "Configuration" permission.
  • The "Include in Batch Hour Entries" field only appears if your company also has the Enterprise edition with the Batch Hour Entry feature enabled.

Tips and common mistakes

💡

Keep the default Hour Types and just add what's missing. AdmCloud already seeds a few common values automatically; you don't need to recreate them, only add the ones your company actually uses.

⚠️

"This concept already exists." Appears if you try to save an Hour Type with a Name (or Code) that's already in use; change the name or edit the existing record instead of creating a new one.

⚠️

"You cannot delete this hour type because it is being used..." Before deleting an Hour Type, review the documents AdmCloud lists; you'll need to edit or delete them first, or simply leave the unused Hour Type in place instead of deleting it.

💡

Don't see the Batch Hour Entry checkbox? It only shows up when your company has the Enterprise edition with that feature enabled; contact support if you need it turned on.
