Shifts

A Shift is a simple catalog holding the names of your company's work schedules (for example "Day", "Night" or "Rotating A"). It doesn't define the actual start and end times by itself: it's used as a label you assign to a Work Calendar, so it can later be reported and classified in your Payroll and Human Resources processes.

Module: Payroll Requires the "Shifts" permission of your user group

What is it and what is it for?

Shifts are the list of schedule names your company uses to classify its employees: morning, afternoon, night, rotating, and so on. Each Shift is just a record with a name, a code and, optionally, a fiscal code; it does not include start/end times or days of the week. That detailed schedule information is defined on the Work Calendars screen, where each calendar can be linked to one of these Shifts to identify which schedule it belongs to.

Once a Shift is linked to a Work Calendar, and that calendar to employees or labor contracts, the Shift becomes available on Labor Reports (DGT-3, DGT-4 and similar, Dominican Republic companies only) using its Fiscal Code as the employee's official shift code.

Screens in this area

Screen What it does
List A table with all Shifts ordered by name, showing their Name (as a link to the details) and their Code. From here you create new shifts, edit existing ones and delete the ones you select with each row's checkbox.
Create / Edit A simple form with the shift's three fields: Name, Code and Fiscal Code. Saving takes you straight to the Details screen of the created or updated record.
Details The same card in read-only mode, with buttons to Add, Edit or Delete depending on your permissions, and a Log tab with the record's change history (who created or modified it, and when).

How to create a shift step by step

  1. Open the Shifts list and click New. You need the "add" level of the Shifts permission; if you don't see the button, ask your administrator for access.
  2. Enter the shift's name. It's the only required field (up to 200 characters) and it must be different from any other shift already registered.
  3. Add a code, if you use one. This is a short, optional identifier (up to 50 characters) for your own internal reference.
  4. Fill in the fiscal code, if it applies. An optional field (up to 10 characters), used only if your company generates official Labor Reports (DGT-3, DGT-4) in the Dominican Republic; there it is reported as the employee's shift code.
  5. Save. The shift becomes immediately available to link from the Work Calendars screen.

Key fields

Field What it is for
NameIdentifies the shift on the list, on Work Calendars and on reports. It is required and unique (maximum 200 characters).
CodeA short, optional identifier (maximum 50 characters) for your own internal reference or classification.
Fiscal CodeAn optional code (maximum 10 characters) used as the employee's official shift code on Dominican Republic Labor Reports (DGT-3, DGT-4).
LogA read-only audit trail: who created or modified the shift and when. Only visible on the Details screen.

Validations when saving

  • Name required and within the maximum length (200 characters).
  • Unique name: it cannot repeat another shift already registered.
  • Code and Fiscal Code within their maximum length (50 and 10 characters respectively); both are optional.

Availability, permissions and conditions

  • Access is controlled with the "Shifts" permission of the user group, with separate levels for browsing, adding, editing and deleting.
  • The screen only shows up on the menu if your company has the Payroll capability active: the Premium Plus Payroll plan, or Enterprise with the Payroll module active.
  • A shift in use by a Work Calendar cannot be deleted: the system blocks the deletion and tells you which calendars reference it. Update or remove those calendars first.

Tips and common mistakes

⚠️

You won't be able to delete a shift linked to a Work Calendar. The error message tells you the name of every calendar that uses it; update those calendars to use a different shift (or delete them) before trying the deletion again.

💡

A Shift is just a label, not a schedule. Start and end times, days of the week and other schedule rules are configured on the Work Calendars screen — that's where you link the shift to the actual schedule employees will follow.

ℹ️

Dominican Republic company? Fill in each shift's Fiscal Code so it shows up correctly on your Labor Reports (DGT-3, DGT-4); if you don't generate those reports, you can leave it blank without any issue.
