Payment Processing Settings
This is the screen where you register the credentials your bank gave you to process your payments automatically, without manually uploading files to the bank's portal. Today it applies to bank accounts linked to Banco BHD León with a direct SFTP connection. Once configured, AdmCloud uses these credentials to send your authorized payments to the bank and to automatically check whether they were accepted or rejected.
What is it and what is it for?
AdmCloud separates a payment's authorization from its actual execution at the bank. For banks without a direct integration, that execution is done by generating and manually uploading a file to the bank's portal (see Bank Payment File Generation and Processing). For Banco BHD León, AdmCloud can automate that entire step by connecting directly to one of the bank's SFTP servers, and this screen is where you save the data needed for that connection:
- The username and password for the SFTP server assigned by the bank.
- The server's address and port.
- The folders on the server where sent payments are placed and where the bank leaves the responses for accepted or rejected payments.
- The bank's public key (PGP), used to encrypt the payment file before sending it.
This screen only stores the connection; it doesn't create or authorize payments. Payments themselves (Bill Payments, Account Payments, Vendor Prepayments) are recorded and authorized as usual, and are then sent to the bank from Process Bank Payments using this configuration.
How it's used
- Open the Bank Account you want to configure, from the Chart of Accounts, and go into its detail screen.
- Click the "Payment Processing Settings" button. It only appears when the account is linked to Banco BHD León and your company has this feature enabled (see Availability).
- Fill in the connection data the bank gave you: username, password, server, port, the three server folders and the public key. If the account already had a saved configuration, the other fields load automatically, but the Password field always shows empty for security reasons.
- Click "Save." AdmCloud checks that every field is filled in, encrypts the password and saves the configuration for that bank account.
Key fields
| Field | What it's for |
|---|---|
| Username | The user AdmCloud connects with to the bank's SFTP server. |
| Password | That user's password. It's stored encrypted and never shown on screen again; you must type it again every time you save changes to this configuration. |
| Server | The bank's SFTP server address (for example, sftp://server.bhdleon.com.do). |
| Port | The connection port for the SFTP server; the bank typically uses port 22. |
| Transferred transactions folder | The server folder where AdmCloud uploads the encrypted file with the payments you send to the bank. |
| Completed transactions folder | The folder where the bank leaves the confirmation of the payments it accepted and processed. |
| Rejected transactions folder | The folder where the bank leaves the detail of the payments it rejected. |
| Public Key | The PGP public key the bank gave you; AdmCloud uses it to encrypt the payment file before uploading it to the server. |
Validations when saving
- Every field is required: Username, Password, Server, Port, the three folders and the Public Key.
- The Port must be a number greater than zero.
- If any required field is missing, AdmCloud rejects the save and points out which one.
How this configuration is used afterward
Once saved, this configuration is used automatically every time you work with Process Bank Payments for that account:
- When sending authorized payments, AdmCloud encrypts the file with the Public Key and uploads it to the Transferred transactions folder.
- When updating the processing status, AdmCloud checks the Completed transactions folder and the Rejected transactions folder to mark each payment as processed or rejected in the system.
Availability
- Requires the Enterprise plan with the "SFTP Payment Processing with BHD" feature enabled; it's not included in the packaged plans (Billing, Start, Basic, Standard, Premium, Premium Plus, Premium Plus Payroll).
- Only applies to bank accounts linked to Banco BHD León; for other banks this screen isn't available, and you should use the manual file generation from Bank Payment File Generation and Processing instead.
- Requires the "Payment Processing Settings" permission (Banking module) in your user group.
- Access to the SFTP connection with your bank must be arranged beforehand with your bank, since the credentials and public key are issued by the bank itself.
Tips and common errors
The password is always asked for again. For security, the Password field never shows the saved value. If you only want to fix another field (for example, a folder), you must re-type the full password before saving, or the save will be rejected.
Copy the data exactly as the bank gave it to you, including capitalization, leading and trailing slashes on the folder paths, and the full public key (without trimming lines). A small mistake in any of these fields will block the connection when sending or updating payments.
Don't see this configuration's button on your bank account? Check that the account is linked to Banco BHD León and that your plan has this feature enabled; otherwise use the manual payment file generation instead.
