Employee Action Types

Employee Action Types is the catalog where you define which kinds of work-life events your company can record for an employee (for example Promotion, Pay Change, Transfer, Warning or Termination). Every Personnel Action you record picks its type from this catalog, so you decide the full list, with whatever names and terminology your company uses internally.

Module: Human Resources Requires the "Personnel Actions" permission

What is it and what is it for?

When you record a Personnel Action to formally note an event in an employee's working life, that action needs to be classified into a type: was it a promotion? a written warning? a pay change? AdmCloud doesn't ship with that list fixed out of the box, so you can match it to your own company's processes and terminology. This catalog is exactly that: the list of types available to pick from when creating a Personnel Action.

It's a simple, standalone catalog — it doesn't depend on any other screen to exist — but it really pays off when used alongside Personnel Actions, since it's the field that later lets you filter, group and understand each employee's work history by event type.

Screens in this area

Screen What it does
List All the registered types, sorted by name. From here you open each one to view or edit it, or create a new one.
Create / Edit A simple form with the type's name and internal notes.
Details A read-only view of the type's data with shortcuts to edit or delete it if you have the corresponding permission.

How to create a type step by step

  1. Open the list and click New. You need the "add" level of the Personnel Actions permission.
  2. Enter the name. It's the only required field, for example "Promotion", "Pay Change" or "Warning". It must be different from any other type already registered.
  3. Add notes (optional) if you want to clarify for your team when this type should be used (for example, what supporting documentation is expected).
  4. Save. The type is immediately available in the "Action Type" field when creating a new Personnel Action.

Where it's used

  • In the required Action Type field of every Personnel Action you record for an employee.
  • As a filter and column on the Personnel Actions list, to review your company's work history grouped by event type.
  • On the Personnel Action's printing format, which shows the name of the selected type.

Key fields

Field What it's for
NameThe event type's description (for example, "Promotion" or "Termination"). It's the only required field and cannot repeat with another type already registered.
NotesFree text to clarify the internal use of this type, visible only within this screen.

Validations when saving

  • Name is required.
  • Name must be unique: it cannot repeat with another type already registered.
  • You cannot delete a type if any Personnel Actions already use it; the system shows you the list of affected actions (with their document number) so you know which ones to reassign or review first.

Availability, plan and permissions

  • This feature requires the Enterprise plan with the Human Resources module enabled for your company; it's not available on other plans.
  • Access is controlled by the same "Personnel Actions" permission of your user group used by the Personnel Actions screen, with separate levels to view, add, edit and delete.

Tips and common pitfalls

💡

Build your full catalog before you start recording Personnel Actions. Think through the events that actually happen in your company (promotions, transfers, pay changes, warnings, terminations, etc.) and register them all at once, so day-to-day recording is fast and consistent across different users.

⚠️

Can't delete a type? That's because one or more Personnel Actions already have it assigned. Check the error message: it lists each affected document's number so you can decide whether it's better to keep the type instead of deleting it.

ℹ️

Use clear, specific names. Prefer "Pay Change" or "Department Transfer" over generic names like "Other", so each employee's work history stays easy to read later on.
