Web Stores

Web Stores is the configuration record for your online store(s): here you set the name, logo, currency, price level, default location and salesperson for orders coming in from the web, your contact details and social media links, the payment methods you accept, your shipping methods, the featured special offer, and the outbound email settings the store uses to send notifications. It's the catalog that Web Store Conditions and Web Store Pages depend on, and the one that links your Items, Item Families and Brands to the online store where they're published.

Module: E-Commerce (Web Store) Requires the "Web Stores" permission

What is it and what is it for?

Each record in this catalog represents one online store for your company. If you only sell through a single web channel, you'll typically have one Web Store configured; if you run several brands or domains, you can create one per store. In it you define how the store looks (name, logo), what currency and price level it sells at, who receives its orders (default salesperson and location), how customers reach you (phone, email, social links and address), which payment and shipping methods you offer, and how the catalog behaves (for example, whether out-of-stock items are hidden and whether discounts or a special offer apply).

It's the "parent" record of the E-Commerce module: Web Store Conditions and Web Store Pages are linked to a specific Web Store, and your Items, Item Families and Brands use the Web Store field to state which of your stores they're published on.

How to use it

  1. Open the catalog. Go to the Web Stores list, where you'll see every store you've already configured, sorted by name.
  2. Create a new store. Use the add button and fill in the name, logo, currency, price level, payment method, cash or bank account, default salesperson and location for the store's orders, your contact details (phone, email, address, city, state and country), and your links to Facebook, Twitter, LinkedIn, YouTube and Instagram.
  3. Set up sales and shipping. Define the shipment methods used for in-store pickup and for home delivery, and the payment methods you accept for cash, bank transfer and credit card (with notes explaining how to pay by transfer, if applicable).
  4. Set up the special offer (optional). Turn it on, choose the featured item, its expiration date, the promotional text and an image to show in the store.
  5. Set up the notification email (optional). Provide the sender email address, its password, the SMTP server and the port, so the store can send notices to your customers.
  6. Save. AdmCloud checks that the name isn't empty, that no other store already uses the same name, and that related data (currency, price level, country, logo, emails, fiscal sequence type) is valid.
  7. Review or edit an existing store. Click the name in the list to see its read-only detail, and use the edit button if you need to fix any of its data.

Validations when saving

  • The name is required and can't be repeated across Web Stores.
  • If you select a Currency or a Price Level, AdmCloud checks that they exist and are active.
  • If you select a Country, it must be a valid one from the catalog.
  • If you attach a Logo, AdmCloud checks the file exists.
  • The Sender Email and the Contact Form Email must be in a valid email format.
  • If you type a Password for the sender email, you also need to provide the Sender Email; if you only change the email and leave the password blank, AdmCloud keeps the password already saved (it's never shown on screen for security).
  • If you select a Sales Fiscal Sequence Type, AdmCloud checks that it exists.

Deleting

AdmCloud won't let you delete a Web Store while there are Items, Item Families or Brands assigned to it: it shows you the list of records that depend on it so you can reassign or edit them first. Deleting a store also deletes its associated customer reviews.

Availability, plans and conditions

  • This feature requires the Premium Plus eCommerce plan, or the Enterprise plan with the add-on E-Commerce module enabled for your company. It isn't available on any other plan.
  • To view, create, edit or delete records you need the "Web Stores" permission (System Administration module) at the corresponding level (View, Add, Edit or Delete).
  • If your company doesn't have E-Commerce enabled, neither this permission nor the screen is available, even if your user group has it assigned.

Tips and common issues

💡

Set up the Web Store before the Conditions and Pages. Since those two catalogs are linked to a Web Store, create your store(s) here first so you can associate them correctly.

ℹ️

You don't need to retype the email password on every edit. The password field is always shown blank for security; if you're only fixing another field, you can leave it blank and AdmCloud will keep the password already saved.

⚠️

Can't see this screen? Confirm your company has the Premium Plus eCommerce plan or the add-on E-Commerce module enabled on the Enterprise plan, and that your user group has the "Web Stores" permission.
