Languages
Keep your company's language catalog up to date so you can assign a preferred language to each customer, vendor or employee, and have that language show up in reports and communications that need it.
What is this screen?
This is your company's language catalog: a simple list with the name of each language (for example "Spanish" or "English") that you can later pick on a customer, vendor or employee record as their preferred language for communication.
This is not the language of the AdmCloud interface you see when you log in (that is set in your personal preferences); it is information you store about each contact, so you know which language they prefer to be written to in, or which language their documents should be issued in.
What is it for?
- It is assigned to customers, vendors and employees. Any of these contact records has a Language field that is filled in by picking a record from this catalog.
- It shows up in reports. For example, the vendors report includes each vendor's preferred language, so your team knows which language to communicate in.
- It is a shared catalog. The same language can be assigned to many customers, vendors and employees at once; you create it once and reuse it on every record that needs it.
How to use this screen
- Open the Languages list. You will see a table with the Name of each registered language.
- Create a new language. Click the New button, type the language's Name and save.
- Browse a language. Click its name in the list to open its record in read-only mode.
- Edit it. From the list or from the record, use the Edit option to correct the name.
- Delete it if you no longer need it. This is only possible if no customer, vendor or employee currently has it assigned.
Key fields
| Field | What it is for |
|---|---|
| Name | The language's name as it will be shown when picking it on a customer, vendor or employee record (for example, "Spanish", "English" or "French"). It is required and must be unique: you cannot register two languages with the same name. |
Validations when saving
- The Name is required. A language cannot be saved without a name.
- The Name cannot be repeated. If a language with that name already exists, the save is rejected and the existing record is shown.
- A language in use cannot be deleted. If any customer, vendor or employee has that language assigned, the system blocks the deletion and shows you which records are using it, so you can change or clear their language first.
Availability and permissions
This screen belongs to the System Administration module and is available on every AdmCloud plan, with no plan or module restriction. Viewing, creating, editing or deleting languages requires the System Configuration permission on the user group. If you cannot see the New or Edit buttons, ask your administrator to review your user group's privileges.
Tips and common pitfalls
Only create the languages you actually use. There is no need to register every language in the world — just the ones your customers, vendors and employees use, to keep the list short and easy to pick from.
Can't delete a language? It is still assigned to one or more customers, vendors or employees. The error message tells you which ones; change or clear their language before trying to delete it again.
This catalog is different from the AdmCloud interface language you see when you log in; that one is controlled from your personal preferences, not from this screen.
